At UnitiWall, we are looking for a detail-oriented and proactive individual to join our team as a full-time Receptionist & Office Administrator. In this role, you will use your strong organizational and communication skills to create a welcoming environment for our team and clients while ensuring smooth office operations.
The ideal candidate will possess excellent verbal and written communication skills, be highly organized, and manage time effectively. You should be able to handle a variety of tasks independently and collaborate with professionals across all levels of the organization. Strong problem-solving abilities and initiative are essential, as is the capability to manage multiple priorities and diverse assignments with ease.

What you’ll be doing

DESIRED EXPERIENCE & QUALIFICATIONS:

  • At least 2 years of experience in a similar role.
  • A post-secondary diploma or degree in Business Administration, Office Management, or a related field (preferred).
  • Advanced proficiency in Microsoft Office (Outlook, Word, Excel, PowerPoint).
  • Exceptional organizational, analytical, and time-management abilities.
  • A proactive, team-oriented approach with a willingness to take on new responsibilities.
  • Strong sense of accountability and ownership over tasks.
  • Excellent written and verbal communication skills.
  • Resourcefulness and an ability to manage multiple priorities efficiently.
  • Familiarity with the Occupational Health and Safety Act.
  • Must possess a valid driver’s license and have access to a reliable vehicle for business-related travel.

Responsibilities:

  • Provide comprehensive administrative support to ensure efficient office operations.
  • Greet and assist all visitors promptly and professionally, directing them to appropriate meeting rooms.
  • Manage office reception, handling deliveries, communications, and visitors.
  • Coordinate office activities and schedules to optimize time management and resources.
  • Ensure the reception area, kitchen, and meeting rooms are clean and welcoming at all times.
  • Assist in the production and distribution of marketing materials, ensuring high-quality and timely completion.
  • Organize and maintain company documents and records for easy retrieval.
  • Serve as the main point of contact for internal and external communications, ensuring professionalism and clarity.
  • Plan and organize team-building activities, workshops, meetings, and events.
  • Manage office supplies and inventory to ensure adequate stock levels and efficient use.
  • Ensure the cleanliness and orderliness of the office and building premises, including managing catering for meetings and events.
  • Occasionally assist senior executives with tasks such as booking travel and engaging with clients and partners.
  • Collaborate with relevant stakeholders to support health and safety initiatives.
  • Occasionally handle financial transactions, such as cheque deposits and payment processing.
  • Provide basic technical support, such as troubleshooting Wi-Fi, printing, and video conferencing equipment.
  • Coordinate shipping tasks, including preparing shipments and assisting team members with outgoing packages.
