Job Title: Receptionist
Location: This position is onsite in Irvine, CA.
Employment Type: Full-time
Pay Range: $18-20 per hour based on experience, qualifications, and skill set.

Key Responsibilities:

The Receptionist must be able to perform the following tasks:

  • Be the frontline of excellence providing essential administrative support, managing phone calls, emails, and correspondence, while ensuring every visitor feels welcomed and valued.
  • Take charge of organizing appointments, meetings, and conference calls, handling any adjustments with finesse to keep everything running smoothly.
  • Accurately input and maintain critical data, including client information and financial records, ensuring everything is up-to-date and easily accessible.
  • Prepare impactful reports, proposals, and presentations that drive our business forward.
  • Keep our office running like clockwork by ordering, organizing, and stocking supplies, and coordinating food deliveries with precision.
  • Assist in the seamless execution of special projects, providing crucial support to our executive team.
  • Prepare and organize meetings to perfection, from scheduling and sending invitations to arranging rooms and materials.
  • Be the event planning extraordinaire assisting in planning and executing company events or conferences, managing venue bookings, logistics, and coordination with flair.
  • Ensure our workspace is always in top shape, maintaining office equipment, managing supplies, and handling mail with attention to detail.
  • Provide versatile support across various projects and duties, making a tangible impact every day.

Required Qualifications:

The Receptionist must have the following experiences:

  • High school diploma or equivalent.
  • 1-2 years of experience in an office environment.
  • Must be proficient in Google Suite, Office 365 or other relevant software tools.
  • Strong attention to detail and ability to effectively multi-task with a willingness to perform a wide range of tasks.
  • Ability to handle confidential information with discretion.
  • Excellent communication and interpersonal skills.
  • Excellent time management skills with a proven ability to meet deadlines
  • Detail-oriented, organized, and capable of managing multiple tasks.
