Responsibilities:
SUMMARY OF ROLE:
To support the Facilities Coordinator in the delivery of various office administrative, hospitality, and reception type services within the client’s London premises.
JOB RESPONSIBILITIES:
- Manage the reception area with a courteous, pleasant and professional presence, greeting and assisting all the staff and visitors
- Manage the reception desk and other areas, ensuring that they are maintained in a professional and presentable manner at all times including decorations, lighting, seating, product displays, technical equipment, etc.
- Ensuring the top quality of our reception area and office space
- Reporting Near Misses
- Daily Quality Floor Checks
- Displaying signage, as requested and as appropriate
- Posters in Washrooms
- Provide general safety and security support by managing and processing any requests for access control devices and passes for staff, contractors and visitors.
- Ordering & Preparation of C badges for contractors in catering, facilities, & janitorial team
- Preparing contractor permits to have works performed, as required
- Provide general administrative and logistical support to the Facilities Coordinator and other line managers as necessary
- Assisting with daily and weekly audits/ reports
- Daily Reception / Collaboration Safety Checks
- Weekly Quality Floor Checks
- Weekly Unseated Reports
- Weekly Visitor Reports
- Monthly Bike Audits
- Monthly FloorScope Audits
- Providing support to the team regarding Weekly On-Boarding of new employees and contractors
- Preparation of Event Badges
- Verification of identity of TVCs
- Weekly Reporting of Checked-In guests & No-Shows to People Ops
- Assisting with meeting room requests
- Ordering & Distributing of Bike Passes/Tags
- Fulfilling client requests via guts tickets
- Maintain constructive and positive professional relationships with all other CBRE service delivery staff and their appointed contractors
