Job Summary: The receptionist serves as the first point of contact for clients and visitors, providing a warm welcome and ensuring a positive experience at our Firm. This role is crucial in managing the flow of people and information through the office, maintaining a professional and organized environment.

  • Experience in a receptionist or customer service role is preferred.

Responsibilities:

  • Client Hospitality: Greet clients upon arrival, show them to the appropriate meeting room, notify the relevant persons of the client’s attendance, attend to the client’s needs, and serve refreshments while they wait for their appointments.
  • General Hotline Management: Answer calls to the Firm’s general hotline, providing information and directing inquiries to the relevant departments.
  • Manage Meeting Room Bookings: Oversee the reservation of meeting spaces, ensuring efficient use of rooms and accommodating special requests as needed.
  • Courier Deliveries: Attend to and arrange for courier services, collect deliveries and attend to the pick-up of packages.
  • Mail Collection and Distribution: Collect mail from the mailbox daily, update Mail Record, and arrange for collection/distribute it to the appropriate recipients within the Firm.
  • Meeting Room Maintenance: Tidy up meeting rooms after use (including but not limited to tucking in of the chairs, replenishing stationery and refreshment supplies, cleaning the whiteboard, and turning off the lights), ensuring they are ready for the next meeting.
  • Stock Management: Regularly take stock of pantry, stationery, and name card supplies, ensuring adequate levels are maintained and reorder as necessary.
