Responsibilities:
Reporting to the Marketing Events VP, the Receptionist will be part of the Group Marketing team and will handle office management duties on the 30th floor of the New York office and assist with event coordination. The responsibilities below are designed to give an overview of the role and requirements.
- You will provide a welcoming, professional reception and office environment. You will ensure the office operates smoothly and efficiently. You must enjoy helping others and must have excellent people skills alongside outstanding organizational and operational skills
- In-office attendance is required 5 days a week
- Welcome all guests upon arrival; greet and direct all visitors
- Ensure guests’ names are listed in lobby security for ease on arrival
- Ensure all visitors are made to feel comfortable and welcome – having a hospitable demeanor
- Handle all incoming calls courteously and professionally
- Maintain consistent awareness of all daily meetings and visitors
- Manage the professional appearance of conference rooms and events space
- Receive and sort all incoming and outgoing deliveries
- Process breakfast and luncheon orders, when necessary
- Assist the Events Manager with the delivery of in-house events held at the firm’s New York office (client seminars, conferences, receptions, parties, client/prospect meetings)
- Manage the calendar of events and scheduling of all meetings/events taking place on the 30th floor of the office
- Prepare supporting materials (literature packs, promotional merchandise, delegate lists, name badges, place names, table plans, etc.)
- Handle payment of invoices related to all events and activities that take place on the 30th floor.
- Coordinate the supply and order of promotional goods
- Maintain a strong relationship with building management and learn all aspects of the building portal.
- Conduct office manager duties such as, ordering office supplies, working with office vendors for repairs as needed and overall management and upkeep of the office space.
- In-office attendance is required 5 days a week .
- This role may require working late hours to ensure the success of an event.
