Description:

Qualifications:

  • High school diploma or equivalent; additional certification in office management or construction administration is a plus.
  • Previous receptionist experience, preferably within the construction industry or a similar field.
  • Strong communication and interpersonal skills with the ability to manage interactions with contractors, clients, and employees.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and general office equipment.
  • Strong organizational skills and the ability to juggle multiple tasks in a busy environment.
  • Detail-oriented with an ability to prioritize and meet deadlines.
  • Ability to maintain professionalism, confidentiality, and adhere to safety protocols.
  • A positive, can-do attitude with the ability to work well independently and within a team

Responsibilities:

  • Greet and assist visitors, contractors, and employees in a friendly and professional manner.
  • Answer and direct incoming phone calls, take messages, and handle inquiries related to construction projects.
  • Maintain and manage the office’s visitor log and ensure contractors are checked in and out of the facility.
  • Schedule meetings, appointments, and coordinating with field staff and clients.
  • Ensure meeting rooms and work areas are organized and well-prepared for visitors.
  • Handle the receipt and distribution of deliveries, equipment, and supplies related to construction projects.
  • Support project managers and field teams with administrative tasks, including document filing, data entry, and tracking project materials.
  • Maintain office supply inventory, ensuring the office and job sites have necessary materials.
  • Provide general office support as needed, including filing, scanning, and preparing project documents for meetings.
  • Assist with safety and compliance-related tasks as required, such as maintaining safety logs or supporting site inspections.
  • Maintain the organization and cleanliness of the front desk and reception area.
