Description:
JOB SUMMARY:
Reporting to the Residence Manager within the context of a resident focused setting, provides reception, clerical duties and concierge duties for The Derby Manor, updates the admission, discharge and transfer system; types of material utilizing word processing software; and receives and sorts mail in accordance with established procedures.
QUALIFICATIONS:
Education, Training and Experience
- Grade 12 plus two years’ recent, related experience or an equivalent combination of education, training and experience.
- First Aid / CPR Certification
- Food Safe

- Ability to type 50 wpm.

Responsibilities:
JOB DUTIES:
- Provides reception duties for The Derby Manor by performing duties such as greeting visitors; maintaining visitor sign-in log; operating switchboard; and responding to general enquiries from residents/visitors related to the community in accordance with established policies and procedures.
- Handles monies for laundry and guest meals and issuing the appropriate receipts for these transactions.
- Provides Concierge duties including but not limited to assisting residents and families with local service provider information, assistance with information available via the internet or pamphlets/brochures on premises. Information and direction regarding activity programs being offered at The Derby Manor. Assistance foe residents wishing to book outings/events and transportation.
- Demonstrates knowledge of fire/emergency procedures and policies of the facility; participates in fire and emergency drills.
- Updates admission, discharge, and transfer (ADT) system by entering resident personal information as received; processing changes noted on daily census such as new admission, transfers to hospital, room changes, discharges and runs standard statistical reports from ADT as required.
- Actively promotes a culture of resident safety by adhering to established safety policies, standards and procedures including emergency procedures.
- Receives, sorts, and distributes resident and departmental mail by performing duties such as opening, date stamping, and distributing items to appropriate personnel, stamps and processes outgoing mail.
- Receives and processes lost and found articles by methods such as receiving lost items; entering information into logbook; placing articles into the lost and found box; posting notices of all lost and found items in designated areas; and forwarding valuable items to Finance for safe keeping.
- Reports hazards, unusual occurrences, accidents, and unsafe situations to immediate supervisor or designate.
- Photocopies, faxes, and distributes material for various departmental staff by receiving items for duplication and operating photocopying or facsimile machine.
- Monitors residents and assists visitors when leaving.
- Answer call bells, call ambulance /fire department.
- Performs other related duties as assigned.

- Reports all incidents and near misses. Reports are to be made in writing.
- Report all concerns related to resident behaviours, even if no incident/injury occurs. Reports are to be made in writing.
