Description:

We are seeking a friendly and outgoing professional for our Corporate Receptionist position. The ideal candidate will be a self-starter, highly organized and detail oriented with exceptional phone etiquette and above average computer skills.
This postion requires that you work on-site, Monday - Friday at our Corporate office downtown.

REQUIREMENTS:

  • Certificate or diploma in Office Administration program would be an asset
  • 1 - 2 years of experience in a similar role
  • Exceptional organization skills with the ability to meet deadlines in a fast-paced, quickly changing environment
  • Professional level written and verbal communication skills with in-depth knowledge of MS Outlook, Word and Excel
  • A proactive approach to problem-solving and ability to present ideas/recommendations clearly and concisely
  • Ability to maintain strict confidentiality with assigned tasks and exercise discretion in interoffice communications
  • Ability to be an effective team player, contributing to a positive work environment

Responsibilities:

  • Direct inbound calls in a pleasant and professional manner for HSE Integrated (HSE) and Industrial Paramedic Service (IPS) using multi-line telephone system
  • Greet guests, maintain visitor log book, and coordinate staff and visitor parking
  • Collate and process incoming/outgoing mail, courier deliveries and faxes
  • Organize boardroom bookings, catering if required and conference code updates
  • Assist executive team members with calendar management, expense reports, travel bookings and other administrative tasks
  • Lead corporate event and meeting planning
  • Assist with corporate employee onboarding, including business card orders, office setup, access card/key ordering, etc.
  • Manage the annual Service Awards order and distribution
  • Order and maintain office supplies/equipment and office area
  • Other administrative support duties and special projects as needed
