ABOUT THE ROLE
We are on the lookout for a Receptionist/Facilities and Document Controller to join our Applied Health & Nutrition site in Carrigaline. This is an important role that will help in ensuring our site continues to run effectively, as we continue to evolve in the biotechnology space.
Day to day responsibilities include opening reception in the morning, being the main contact for all visitors on site, signing in contractors, allocating offices, and sending out site-wide communication.
You’ll also be managing any facilities needs on site, ordering supplies and managing PO’s, supporting the quality department with document control, running weekly payroll, and supporting the management team with any ongoing projects within facilities onsite.
WHAT YOU’LL BE DOING
- Provide a professional and personable first point of contact to all internal and external clients –e.g., providing visitor passes and ensuring correct sign in procedures have taken place.
- Management of access to site during office working hours.
- Support all administration duties required in the running of reception including couriers, & post.
- Support answering and redirecting switchboard calls and messages appropriately.
- Assist in general administration duties as required.
- Collating & updating changes in documentation, in line with the company’s document management & change control system. This includes updating, tracking and issuing of procedures & methods etc. Responsible for the electronic recording of documentation to comply with audit standards.
- Co-ordinate & update site training matrix and training records. Oversee contractors.
- Running weekly payroll each Monday.
WHAT YOU CAN BRING TO THE ROLE
- Previous experience within reception/facilities/office management – to include raising purchase orders, purchasing supplies, site facilities and contract management and general reception/building management duties.
- Experience in document control would be a huge benefit.
- Being able to work under pressure.
- Excellent communication skills, with the ability to work cross-functionally across several teams.
- A course or qualification within administration would be preferable.
- Payroll experience would be an advantage.
