JOB SUMMARY:

The Rehabilitation Secretary has responsibility for a variety of duties, including provision of assistance to Therapist, performance of activities supportive to the work, preparation, cleanup of the designated therapeutic areas, and clerical duties.

EDUCATION:

  • High School graduate preferred.

JOB KNOWLEDGE:

  • Knowledge of CPT coding, ICD 9 Codes, and Medicare Reimbursement issues preferred.
  • Knowledge and skills appropriate to working in a rehabilitation setting preferred.
  • Medical terminology highly desirable.

EXPERIENCE:

  • Previous healthcare office setting preferred.
  • Previous customer service experience preferred.

Responsibilities:

  • Receives scheduling information, and pre-certifies if applicable. Works to ensure seamless customer service.
  • Reviews medical necessity and obtains addition diagnosis if applicable.
  • Correctly pre-registers and schedule patients. Notifies patient of estimated liability and documents in patient’s account.
  • Communicates clearly and appropriately to patient, instructions upon arrival, bring photo ID, and any necessary information related to visit. Sends out appointment notices to patient in a timely manner.
  • Upon patient arrival: obtains all necessary signatures (including relationship of representative as necessary) and completes all items relating to patient’s registration.
  • Correctly pre-registers patients for Outpatient Services Notifies patient estimated liability and documents in patient’s chart.
  • Thoroughly interview patients or their representative to obtain/verify current personal information.
  • Identification of the scheduled patient is verified. Activates the patient account. Acquires a copy of driver’s license or picture ID.
  • Prepares outpatient treatment folder to include (as appropriate): demographic sheet, physician’s order, patient’s medication list, etc. Makes appropriate documentation as necessary.
  • Directs patients to waiting area and informs therapist that patient has arrived for their appointment.
  • Prepares medical records on new patients.
  • Contacts insurance companies to obtain approval for Rehabilitation Services.
  • Updates and monitors charts and documents insurance approval status, number of approved visits, and need for reassessment with licensed therapist.
  • Contacts Medicare/Medicaid and obtains approval for treatment, sends in proper paperwork for these services and monitors recertification status.
  • Faxes initial evaluations to referring doctors and monitors return of signed plan of cares.
  • Correctly inputs daily patient charges for inpatient, outpatient, and Segraves Care Center services.
  • Complies monthly summaries of discharged patients to submit to Admitting department for discharge in hospital database.
  • Answers telephone calls in a polite and professional manner.
  • Answers telephone and intercom calls and provides information or relays messages to patients and staff.
  • Returns voicemail calls regarding scheduling appointments within 4 hours of message.
  • Assists in care and maintenance of department equipment and supplies. Alerts supervisor to malfunction of equipment.
  • Maintains clinical materials and other supplies as assigned.
  • Orders and maintains supplies in inventory.
  • Provides service in a manner consistent with the safety policies.
  • Communicates clearly and appropriately to Rehabilitation Services Director, co-workers, and physicians and our customers.
  • Demonstrates flexibility in adapting to job/shift changes and taking on other responsibilities. (In a changing environment, has the skills and willingness to adapt to changes in job responsibilities and job demands.)
  • Demonstrates good organization skills and functions well in stressful situations.
  • Interacts professionally with customers (internal and external) by treating them with dignity and respect. Provides explanations and verbal reassurance as necessary.
  • Demonstrates excellent customer service skills, even in extreme circumstances.
  • Maintains a good working relationship with department co-workers, other departments, physician offices, and external agencies.
  • Displays a positive attitude toward work. Contributes positively to office morale. Demonstrates a teamwork temperament with all staff.
  • Performs other duties as assigned.
    Must be willing to receive all required vaccinations (i.e., flu shot, etc.). All new employees working must be fully vaccinated as a condition of employment (unless the new hire has requested and received an exemption). Candidates for employment will be notified of this policy requirement prior to the start of employment. After receiving an offer of employment, new employees must provide proof of vaccination or request and receive an exemption before beginning work.
