Summary: Huda Beauty is looking for a presentable & highly motivated Receptionist & Workplace Experience Co-ordinator. This person will be front of house & responsible for all reception based tasks. Capable individual that will support with administrative tasks, office related duties and in-office activations. As part of the Workplace Experience team, they will handle the meet & greet of all external guests and vendors. Working closely with Workplace Experience Manager- to support and execute tasks and request.

REQUIREMENTS

Essential Duties and Responsibilities:

  • Perform Reception duties- greet guests warmly and assist with any front desk queries.
  • Manage and support with the booking of meeting rooms.
  • Support with shipments, monitoring & recording of deliveries in & out of the office.
  • Support and maintain office stock room, ensuring inventory is up to date.
  • Ensure all printers are working properly and supplies are ordered by company provider.
  • Address team members inquiries and resolve issues or escalate to W-Ex manager.
  • Support with food serving and the preparation of meetings. Support with internal office events & activations.
  • Maintain a clean, welcoming, and organized front desk area.
  • Assist in the onboarding process for new staff members, actioning finger print access.
  • Report any maintenance issues to the W-Ex manager.
  • Coordinate with vendors and service providers as needed.
  • Handle basic bookkeeping tasks, managing petty cash and credit card receipts.
  • Support the Workplace Experience team with daily tasks.
  • Contribute to a positive and productive team environment.
  • Support with ordering office lunches and snacks for office meetings
  • Fire warden & First Aider

REQUIREMENTS:

  • High school diploma or equivalent; additional education or certification in office administration or related field is a plus.
  • Proven experience in an office or administrative role.
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and basic office equipment.
  • Excellent communication and interpersonal skills.
  • Ability to multitask, prioritize, and manage time effectively.
  • Detail-oriented with a proactive approach to problem-solving.
  • A passion for beauty and a keen interest in the industry is desirable.
