Overview:
We are seeking a highly organized and detail-oriented Receptionist to join our team. As a Receptionist, you will play a crucial role in ensuring the smooth operation of our office by providing administrative and clerical support to lawyers and support staff. This is a full-time position with opportunities for growth and advancement.
Responsibilities:
- Perform general clerical duties, including data entry, photocopying, scanning, and filing
- Answer and direct phone calls, take messages, and respond to inquiries
- Greet and assist visitors in a professional and friendly manner
- Schedule appointments and maintain calendars for team members
- Assist with organizing meetings, conferences, special events, documents, and filings
- Prepare and distribute correspondence, memos, reports, statement of accounts, invoices, and other documents
- Maintain office supplies inventory and place orders as needed
- Assist with bookkeeping tasks using Cosmolex software, Microsoft Excel and/or other software
- Provide administrative support to various departments as assigned
- Perform banking as required
Skills:
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both verbal and written
- Proficient in using phone systems and handling multiple phone lines
- Previous experience in a law firm or office setting is a plus
- Customer service-oriented with the ability to provide exceptional customer support
- Familiarity with front desk operations and handling inquiries from clients or customers
- Basic knowledge of clerical procedures and office management systems
- Proficient in using Microsoft Office Suite (Word, Excel, PowerPoint)
- Experience with Cosmolex is required
Shift: 9 am to 5 pm
