FRONT DESK/RECEPTIONIST

Location: Richmond– Virginia Department: Receptionist/Front Desk
Reports to: Human Resources Shift: Monday-Friday 5:30-10:15 PM, Saturday 8:30-5:30
Hourly/Salaried: Hourly FSLA status: Non-Exempt

JOB SUMMARY:

We are looking for a Dynamic Receptionist to manage our front desk daily and to perform a variety of administrative and clerical tasks. As a receptionist, you will be the first point of contact for our company. Our receptionist’s duties include offering administrative support across the organization. You will welcome prospective students and clients of all facets. To be successful as a receptionist, you should have a pleasant upbeat personality, as this is also a customer service role. Multitasking and stress management skills are essential for this position. Ultimately, a receptionist’s duties and responsibilities are to ensure the front desk welcomes guests positively and executes all administrative tasks to the highest quality standards.

Essential Functions, Duties & Responsibilities:

  • Open the facility on time
  • Check voicemails
  • Campus Security Authority (CSA) training will be provided
  • Perform general clerical duties, including data entry, filing, and managing correspondence as needed.
  • Answer, screen and forward incoming phone calls
  • Periodic walk throughs to ensure facility is top notch
  • Ensure reception area is tidy and presentable
  • Routinely orders office supplies without notifications
  • Maintains and Stocks retail displays. Keep an inventory log for record keeping
  • Ensure to water, spray and groom indoor plants
  • Provide accurate information in-person and via phone/email is imperative
  • Handle incoming and outgoing mail packages
  • Check mail daily and periodically and route to appropriate staff in a timely manner
  • Routinely monthly send out an email to staff requesting if any supply orders are needed. Keep a log.
  • Ensure printers are stocked with paper and we are stocked with toner and ink.
  • Review transactions after every clinic. Create folders and labels for new client intake forms, and re-file any client files
  • Maintain clinics: i.e.
  • Setup clinic times in Docmein
  • Print clinic agenda
  • Enter new client email in constant contact
  • Email blast through constant contact for clinic announcements/specials

SKILLS:

  • Self-Starter
  • Minimum 2 years’ experience
  • Exceptional communication skills
  • Proficiency in Microsoft Office Suite
  • Punctuality is imperative due to opening the facilities
  • Hands-on experience with office equipment (e.g. copy/fax machine, multi-line telephone and relevant computer software programs)
  • Professional attitude and polished appearance
  • Ability to be resourceful and proactive when issues arise
  • Excellent organizational skills
  • Multitasking and time-management skills, with the ability to prioritize tasks
  • Customer service attitude
  • High school diploma or equivalent
  • Ability to lift boxes of up to 40lbs
