Essential:

  • High School Diploma or GED.
  • Competency in MS Office, including Word, Excel and Outlook.
  • Basic record keeping and scheduling skills
  • Good keyboarding skills.
  • Competency in information technology, including phone systems.
  • Basic record-keeping
  • Enjoys meeting new people and supporting a large and diverse staff.
  • Good oral and written communication skills in English. Clear communication and collaboration with other staff members.
  • Able to lift 20 lb. packages.
  • Understanding of and ability to communicate MCC’s mission.
  • Excellent people skills such as greeting, hosting, inspiring, organizing and directing.
  • Flexibility with interruptions.
  • Takes initiative and can work independently with little supervision.
  • Valid Driver’s License required
  • Curiosity and willingness to learn about Anabaptist/Mennonite church organization and MCC history and structure.

Preferred:

  • 1-2 years of clerical experience
  • Spanish language skills

Responsibilities:

Specific Tasks and Duties:

  • Answer and direct all incoming phone calls.
  • Screen and forward emails coming to MCC’s general mailbox.
  • Welcome all office visitors, fields questions, and assists with connections to appropriate staff.
  • Keep track of vehicle keys and stock of vehicle usage slips for all vehicles.
  • Prepare and distribute a daily staff newsletter (AOS).
  • Keep staff phone lists and other information needed by receptionist up-to-date.
  • Unlock office doors in the morning and locks doors, turns off lights at 4:00 pm.
  • Provide clerical support to the Records and Archives department including scanning, filing and other duties as assigned by the Records and Archives Manager.
  • Occasionally transports guests or staff to Lancaster, Philadelphia or Harrisburg airports.
  • Book guest rooms and meeting space for staff and guests.
  • Provide information to guests planning visits or lodging on campus.
  • Extend hospitality to campus guests during office hours by answering questions, responding to needs and arranging for tours for both unexpected and expected visitors.
  • Create and post campus welcome signs with the assistance of other Admin Services staff.
  • Issue and manage guest and staff building access credentials.
  • Create staff schedules for coverage of dining hall (on-call and PT staff).
  • Communicate with guest coordinators in the planning of meals and breaks for group events on campus and communicates these plans to staff.
  • Available after hours on occasional evenings and weekends to welcome campus guests.
  • Provide back-up coverage for Dining Hall, Housekeeping and mailroom as needed.
  • Water plants in the office, Dining Hall and Meeting Place as needed.
  • Other duties as assigned on a temporary basis.

Supervision: No direct supervision.
