We are currently looking to fill a Full Time Receptionist Position - at The New Vista Society located in Burnaby, BC

JOB SUMMARY:

Reporting to Director of Administration, the Receptionist/Office Clerk performs a variety of reception and general clerical services/duties including operating the switchboard, data entry, administration of resident trust accounts, ordering supplies and managing resident health records.

EDUCATION, TRAINING AND EXPERIENCE:

  • Grade 12 plus two years’ recent related experience or an equivalent combination of education, training and experience.

SKILLS AND ABILITIES:

  • Ability to type 50wpm
  • Knowledge of basic accounting principles
  • Accuracy with numbers
  • Working knowledge and experience with Word and Excel
  • Ability to communicate effectively both verbally and in writing
  • Ability to deal with others effectively
  • Ability to organize and prioritize work
  • Physical ability to carry out the duties of the position
  • Ability to operate related equipment

Responsibilities:

  • Answers general inquiries both in person and by telephone regarding resident information. Receives and relays messages. Receives and directs visitors to appropriate staff member or neighborhood. Participates in the resident elopement prevention procedure.
  • Receives all mail and our couriers making deliveries to the Long Term Care Home. Processes outgoing mail.
  • Orders care supplies and maintains established par levels. Receives supply orders, checks for accuracy and distributes to appropriate staff. Reconciles packing slips with order invoices.
  • Updates and maintains electronic databases, lists, monthly calendars, care conference and medication review schedules.
  • Sets up, maintains and files the resident health record according to established procedures.
  • Administers resident trust accounts; receives deposits, distributes receipts, maintains petty cash float, maintains trust account records.
  • In the absence of the staffing clerk, calls in and allocates relief staff to fill vacancies in accordance with policy and applicable collective agreements.
  • Provides input into the development of facility policies and procedures. Reports near misses, risks, hazards and incidents to the appropriate personnel. Reports unsafe or faulty equipment to the designated supervisor.
  • Promotes a client’s right to autonomy, respect, privacy, dignity and access to information.
  • Participates in fire drills and emergency response training. Attends in-service training and workshops as required by the employer.
  • Supports the NVS model of service, mission, vision and values.
  • Performs other related duties as assigned.
