Responsibilities:
We are looking for a professional and customer-focused Management Receptionist to join our team. As the first point of contact for visitors, you will play an essential role in ensuring the effective operation of the business. You will provide exceptional customer service, manage front-office operations, and create a welcoming and organised atmosphere; providing support to the management team as required.
Key Responsibilities:
Welcome and Engage with Visitors: • Greet and assist visitors, ensuring a positive and welcoming first impression. • Answer incoming calls and direct them to the appropriate departments or individuals in a courteous and professional manner. • Manage visitor logs and issue visitor passes, ensuring compliance with business protocols.
Administrative Support: • Support the management team by performing various administrative tasks. • Handle correspondence. • Coordinate meeting room bookings and ensure meeting spaces are prepared.
Customer Service and Client Engagement: • Assist visitors with inquiries and provide clear information as required. • Ensure requirements are met promptly and efficiently. • Provide a positive experience by offering personalised service and addressing requests with attention to detail.
Office and Facility Management: • Oversee the reception area and maintain a clean and organised environment. • Ensure all Guest Services supplies are adequately stocked, placing orders as required and liaising with the Guest Services Supervisor as necessary. • Coordinate with FM service providers for maintenance and cleaning tasks as required. • Maintain accurate records and documents, ensuring confidentiality and ease of access. • Assist in managing company databases, ensuring that data entry is accurate and current. • Handle incoming mail and packages, ensuring they are routed appropriately. • Promote Team Collaboration and Professionalism: • Foster a positive work environment by promoting teamwork, respect, and clear communication among all team members. • Uphold a professional and organised approach in all duties and interactions, representing the company’s values and commitment to excellence.
Experience/Qualifications: • GCSE Grade A-C. • Previous experience in a receptionist or customer service role preferred. • Excellent communication and interpersonal skills • Strong organisational skills and the ability to prioritise tasks efficiently in a fast-paced environment. • Ability to work independently and as part of a team. • Willingness to work flexible hours as needed, including evening or weekend shifts as necessary.
