JOB SUMMARY: The Receptionist provides professional and courteous service to all visitors of the Kennedy Institute as well as perform basic administrative tasks essential to effectively operating the front desk area.
EDUCATION AND EXPERIENCE:
- High School Diploma or equivalent (Verification of foreign equivalency required)
- Six (6) months of performing receptionist and/or general clerical duties.
SKILLS AND COMPETENCIES:
- Moderate proficiency of Microsoft Office (Word, Excel, Outlook, etc.).
- Great work ethic, time management and customer services skills.
- Possess good organizational skills, the ability to multitask, and be detailed oriented.

Responsibilities:
- Answers incoming calls in a pleasant manner and directs each call appropriately.
- Greets visitors; ensures that they sign the visitor’s log and notifies the appropriate staff member of the visitor’s arrival.
- Enters department incident reports in the UIR Database.
- Files fax logs, packing slips, and other office documentation on the Purchasing Drive.
- Interacts regularly with vendors to schedule repairs, order supplies, etc.
- Schedules repair services for phones, copy machines, and other office equipment.
- Intakes (date, stamp, open, and log), sorts, and distributes all incoming mail. Processes outgoing mail.
- Signs for, records, and notifies the appropriate staff member(s) of all deliveries.
- Sorts and distributes faxes, print jobs, and various inter office communications.
- Updates telephone options (i.e. – greetings), as assigned.
- Provides administrative support (i.e. - data entry, mail/envelope label creation, memos, etc.), for all Programs at the request and approval of the Department’s Administrative Manager.
- Maintains coffee area to include maintaining inventory of supplies.
- Manages logs/database(s) and conference rooms schedule.
- Maintains the Catholic Charities, DDA, CSLA, DHHS and Maryland Child Care Administration handbooks for all programs.
- Assists with monthly fire and other drills.
- Troubleshoots copier, computer, and telephone system as needed.
- Performs other duties as assigned.
