ABOUT THE COMPANY:

Vantage Hemp is a private company and has established a large-scale state-of-the-art hemp extraction facility in Greeley, CO. The extraction facility plans to become a key player in the rapidly growing CBD industry with plans to expand quickly, leveraging a true science-based research and development approach.

POSITION SUMMARY:

The Receptionist/Purchasing Agent is key to keeping our office running smoothly. They schedule appointments, especially for executives, and set up meetings, making sure to invite all the right people. This role also welcomes visitors, answers calls, takes messages, and keeps the reception area tidy and safe according to our company policies. Besides these tasks, this role is responsible for keeping files in order, arrange food for meetings, and help management with note-taking and other office jobs. They’re in charge of planning company events, ordering supplies, and talking to vendors about deliveries and prices. It’s important that they’re precise when checking bills against orders and suggesting new items when we need them.
Compensation: $16-$19 per hour
Hours: Full-time 6 month temporary position.

Education and Experience Needed to be Successful:

  • High school diploma or equivalent
  • Familiarity with phone systems.
  • Previous experience with Microsoft Office software preferred.
  • Customer service.
  • Experience with GDP and CGMP preferred

Specialized Skills:

  • Strong verbal and written communication skills to interact clearly with customers, vendors, and other employees.
  • Proficient organization skills to keep accurate records and find important information quickly.
  • Strong/advanced time management skills to prioritize and complete various tasks throughout the day.
  • Patience and listening skills to respond appropriately and interact positively with upset customers.
  • Interpersonal skills to create a pleasant customer experience, such as being personable and attentive.
  • Must be 18 years of age or older

Responsibilities:

Receptionist, Scheduling, Administrative and Communication

  • Schedule appointments for all staff, with a focus on executives.
  • Organize and send invites for meetings.
  • Greet, welcome, and direct visitors appropriately.
  • Answer and route phone calls.
  • Take and pass on messages.
  • Maintain a clean and safe reception area by following procedures and rules.
  • Assist management with minute-taking and other routine tasks.
  • Organize and maintain files.
  • Handle mail sorting and dispatching.

Meeting and Event Coordination

  • Coordinate catering for meetings.
  • Lead the planning of corporate events.

Purchasing and Vendor

  • Create purchase orders or use a credit card to order materials.
  • Communicate with vendors about delivery dates, pricing, and product returns.
  • Check invoices against purchase orders for accuracy.
  • Research and suggest new supplies for consideration.
  • Carry out other duties as needed to support office efficiency.
