Description:
The Receptionist is responsible for answering all incoming calls and emails, and will manage or direct all incoming calls to appropriate departments. The Receptionist also greets and assists all Members and their Guests in a professional manner and provides administrative assistance when needed.
REQUIREMENTS:
- Excellent interpersonal skills
- Excellent oral and written communication skills
- Proficiency in MS Office
- Ability to operate business machines (e.g. fax machine, photocopier, etc.)
Responsibilities:
- Effective and efficient operation of switchboard, including distribution of calls, inquiries, and recording of messages
- Report telephone failures, orders maintenance and repairs
- Manage Mail Bag to and from the Island
- Provide information with respect to activities, reservations, and Club services
- Page staff when necessary and when requested
- Provide security to ensure only authorized individuals enter premises
- Greet Guests, inform staff of arrivals, direct Guests to meeting locations
- Ensure all necessary information is easily accessible, keep reception area welcoming and organized
- Arrange courier and taxi pickup
- Distribute incoming mail to appropriate departments
- Assist with labeling and stuffing of envelopes
- Conduct phone reminders to committee Members regarding meetings
- Record long distance calls in the log book
- Perform other tasks as assigned by Management
