OVERVIEW

Body First Wellness Centre is dedicated to promoting health and wellness through personalized fitness and rehabilitative services.
Located on Sheppard Avenue East in Toronto, we are looking for a motivated and enthusiastic Receptionist to join our expanding team. In this role, you will work closely with practitioners and management to ensure the smooth running of the clinic, handle appointment bookings, and maintain accurate billing. We are seeking someone who is empathetic, has strong communication skills, and pays great attention to detail. · Prepare/set up the clinic for opening or closing each day.
· Greet and welcome patients in person and over the phone, providing exceptional customer service.
· Manage reception duties, including answering phone calls, responding to emails, and processing payments.
· Verify patient insurance coverage by contacting private insurance companies when necessary.
· Oversee patient billing and check-ins, ensuring all transactions are finalized by the end of the day.
· Take the initiative to develop and document systems that enhance clinic efficiency and organization.
· Assist with marketing efforts and help ensure the overall smooth operation of the clinic.

Required Skills and Qualifications:

  • Medical Reception Experience: Previous experience in a medical reception role is preferred, but not required.
  • Medical Administrative Knowledge: Experience in a medical administrative position is an asset but not a necessity.
  • Attention to Detail: Strong ability to maintain accuracy in paperwork, patient records, and billing processes.
  • Computer Proficiency: Proficient in using computer systems such as Windows, JaneApp, Universal Scheduling (Antibex), MS Excel, and MS Word.
  • Communication Skills: Excellent verbal and written communication skills, with the ability to communicate clearly and professionally with patients and staff.
  • Customer Service: Demonstrated experience in providing excellent customer service and managing patient inquiries in a friendly, professional manner.
  • Multitasking Ability: Capable of managing multiple tasks simultaneously, prioritizing effectively, and remaining organized in a fast-paced environment.
  • Time Management: Strong organizational and time management skills to ensure smooth office operations and meeting deadlines.
  • Adaptability and Technology Savvy: Quick learner, proactive in adopting new technologies and systems to improve work efficiency.

Social Media Skills:

  • Content Creation: Assist in the creation of engaging content, including photos, videos, and written posts for social media platforms like Facebook, Instagram, and more.
  • Community Engagement: Engage with followers by responding to comments, messages, and fostering relationships to enhance online interaction.
  • Social Media Strategy: Contribute to the planning and execution of social media campaigns designed to boost brand awareness and audience engagement.
  • Social Media Management: Help with scheduling and maintaining posts in alignment with a consistent brand message, ensuring timely and relevant content.
  • Trend Awareness: Stay updated with the latest social media trends, tools, and best practices to keep content fresh and relevant.
  • Collaborative Approach: Work closely with the marketing and design teams to align social media content with overall company strategies.
  • Campaign Assistance: Support influencer outreach, partnerships, and promotional activities to increase brand reach and online engagement.
