JOB DESCRIPTION

Job Title: Receptionist
Department: Administration
Reports To: Assistant to the Executive Director
FLSA Status: Nonexempt – 12 month position
Salary Grade: 3B ($10.91-$12.55-$14.19)/hr.
Approved Date: 11/8/2022

SUMMARY

Receives incoming telephone calls, transfer calls, and takes messages. Transposes messages from the voice mail and delivers them immediately to the appropriate staff. Greets visitors and directs them to the appropriate destination. Helps community members and the general public visiting campus to connect with appropriate staff.

ESSENTIAL DUTIES AND RESPONSIBILITIES include the following. Other duties may be assigned. * Indicates the non-essential duties and responsibilities. Nothing in this job description restricts St. Labre’s right to assign or reassign duties and responsibilities to this job at any time.

  • Provides calm and kind customer service to community members, callers, guests and coworkers.
  • Answers main telephone console and transfers calls to the appropriate department
  • Collects and distributes messages.
  • Greets visitors, answers inquiries, and directs them to the appropriate staff and/or department.
  • Ensures that the front office area and breakroom is kept clean and neat at all times; this includes removing clutter and arranging magazines, newspapers, flyers, etc.in an attractive manner. As well as checking and ordering supplies, including water, coffee, cups and napkins etc.
  • Locks/unlocks front and back administration building doors at the beginning and end of each day and in times of emergencies.
  • Operates the radio system, pages and locates campus staff as needed.
  • Schedules the small and large conference rooms in the Administration Building as requested.
  • Distributes and accepts employment applications, checking for completeness.
  • Assists in the distribution of items by communicating pickups and deliveries for items such as keys, written communications, and printer/IT supplies.
  • Updates and distributes Telephone Extension Directory and front desk materials as needed
  • Trains temporary support staff in reception area duties and updates reference materials and documents for staff working in the reception area..
  • Assists with mail for administrative offices.
  • Assists with Museum Gift Shop as needed, including but not limited to inventory and cashier backup.
  • Assists with distribution and retrieval of vehicle keys of the general administration fleet.
  • Performs other clerical duties as assigned.

EDUCATION AND/OR EXPERIENCE

High school diploma or General Education Degree (GED); and one to six months related experience and/or training preferred; or equivalent combination of education and experience.
