Description:

QUALIFICATIONS AND EDUCATION REQUIREMENTS:

  • Strong communication and interpersonal skills
  • Knowledge of various administration procedures and practices
  • Excellent word processing and computer skills
  • Familiarity with scheduling and booking processes
  • Ability to multi-task with frequent interruptions
  • Performs other duties as assigned

Responsibilities:

  • Performs general office duties such as answers telephone and directs and/or responds to inquires; greets visitors and directs them to the appropriate person(s); files documents electronically or manually.
  • Takes calls/inquiries about bookings for rental groups
  • Sets up client appointments and registers clients for classes and special events
  • Prepares routine documentation such as forms, letters, memo, email and may keep records; checks typing for accuracy, sorts and prioritizes typing assignments within general guidelines.
  • Assists in maintaining adequate office and other supplies.
  • Provides administrative and/or special project support as assigned.
  • Prepares and receives all paperwork for various projects and processes.
  • Keeps the reception area clean and organize.
  • Manages rental groups who are on site, ensuring safety protocols are always followed.
  • Attends performance reviews.
  • Reviews information and client forms to ensure correct information and relevance.
  • May support the Administrative Coordinator with opening mail and processing out-going mail; receives parcel(s) and distributes to the appropriate person(s).
  • May draft and prepare presentations (including PowerPoint, invitations, certificates.)
  • Makes calls for various events requiring support i.e. Neighbourhood Welcome, Kettles, Food Bank
  • Receives donations and issues receipts according to Territorial Finance Manual 6009.3
