REQUIREMENTS:

  • Matric, relevant qualification advantageous
  • Previous experience as a receptionist or in a customer-facing role preferred, especially in property management or real estate
  • Excellent communication and interpersonal skills
  • Strong organizational and multitasking abilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and office equipment (phones, printers, etc.)
  • Ability to handle sensitive information with discretion and maintain confidentiality
  • Professional appearance and demeanour
  • Strong problem-solving skills and a proactive approach
  • Ability to work independently and as part of a team

Responsibilities:

  • Greet and welcome visitors, clients, and tenants in a courteous and professional manner
  • Direct visitors to the appropriate department or personnel
  • Manage incoming phone calls, emails, and messages, ensuring timely and accurate responses
  • Perform general administrative tasks such as filing, data entry, and document preparation
  • Assist in scheduling appointments and meetings for management and staff
  • Handle mail and courier services, including sorting and distributing incoming mail
  • Address and resolve tenant inquiries and concerns promptly and professionally
  • Maintain accurate records of tenant interactions and service requests
  • Coordinate with maintenance and repair teams to address property issues
  • Maintain and update office supplies inventory, ordering replenishments as needed
  • Ensure the reception area and meeting rooms are organized
  • Assist with the onboarding process for new tenants, including preparation of lease documentation
  • Update and maintain purchaser and leads databases
  • Generate and distribute reports as requested by management
  • Adhere to company policies and procedures, including confidentiality agreements and data protection regulations
  • Ensure compliance with health and safety regulations in the office environment
