Description:
POSITION SUMMARY
Under the direct supervision of the Site Manager, the Receptionist/Transporter serves as the primary public point of contact on behalf of the SSTTP local office staff. This position provides direct assistance to participants of the Shingle Springs Tribal TANF Program (SSTTP), along with receiving guests and clients of the TANF site. The incumbent in this position will provide TANF site staff with day-to-day clerical and support services. In addition, a transporter will provide transportation assistance to Shingle Springs Tribal TANF Program participants and provides support to the Site Manager. S/he supports a safe work and program environment for both employees and program participants by performing all duties in accordance with Tribal safety policies and procedures. This includes, but is not limited to: reporting all incidents and accidents to your supervisor timely (within 24 hours); maintaining work areas in a safe and healthful manner; reporting and correcting any unsafe working conditions; operating vehicles in a safe and lawful manner while conducting Tribal business; providing input and assistance to reduce or eliminate workplace hazards; actively supporting ongoing safety efforts, including recommendations of the safety committee.
MINIMUM QUALIFICATIONS
- High School Diploma/GED is required.
- Must have two (2) years of experience transporting passengers.
- Must be proficient in the use of Microsoft Word, Excel, and Outlook.
- Must be able to work evenings, weekends and occasionally on short notice in response to crisis situations.
- Ability to work independently with minimal supervision.
- Ability to organize work and time; establish priorities; work under pressure and meet deadlines.
- Must work well with Native Americans (Families) with an understanding of social and cultural needs of the native community.
- Must comprehend, interpret, and apply program policies, procedures, guidelines, and instructions through formal and on-the-job training.
- Must possess the ability to learn and apply interviewing and investigative techniques.
- Must communicate effectively in both verbal and written forms of communication, including writing reports, business correspondence, and give (provide) presentations.
- Must maintain composure and use diplomacy and tact when dealing with program participants.
- Must possess the ability to interpret and apply program rules, regulations, policies and procedures, while making initial and continuing eligibility determinations within strict time frames.
- Ability to analyze and accurately classify types of employment, income resources, expenses and other variables surrounding a household composition.
- Must present a current DMV print out.
- Must possess a California Driver’s License and applicable minimum auto insurance as required by law.
- Must have a clean motor vehicle record, with fewer than three (3) points in the past five (5) years.
- Must be familiar with California Transportation Regulations.
- Must be available to work nights and weekends as required.
- Must be able to lift up to 50 pounds.
- Must have a valid, unrestricted California Driver’s license and personal vehicle insurance, and qualify for the Tribe’s vehicle insurance.

Responsibilities:
- Answers multi-line telephones, routes messages in a timely and accurate manner and coordinates break telephone coverage.
- Receives guests of TANF Site in a polite, friendly, and helpful manner and responds to inquiries regarding TANF procedures and services.
- Receives information and documents on behalf of the site and ensures they are routed in a timely and accurate manner.
- Provides clerical and administrative support in a collaborative setting to ensure efficient, accurate and timely completion of assigned duties.
- Performs mail management, including routing, stamping, and logging incoming and outgoing bulk mail and electronic mail.
- Facilitates on-going communication between staff members, including location of personnel on a day-to-day basis.
- Assists in scheduling locations for staff meeting needs.
- Operates TANF vehicle(s) safely and efficiently.
- Develops a driving schedule for specifically scheduled routes.
- Responds to requests from management for unscheduled pick-ups or drop-offs.
- Assists passengers in boarding and exiting the vehicle.
- Assists with loading and unloading of participant belongings and other items as needed.
- Monitors traffic and weather conditions and notify dispatch of potential problems.
- Reports accidents or other safety situations to Transportation Manager, and in cases of accidents, to local law Enforcement as well.
- Accurately completes a Vehicle Inspection Report on a daily basis. Completes the driver trip sheet with the vehicle license number, pick-up and drop-off times, mileage, destinations, etc.
- Maintains a regular schedule for auto maintenance and if problems exist, oversee on-going repairs and maintenance.
- Treats all participants, guests, staff, and other people in a courteous, friendly, and professional manner.
- Picks up and delivers supplies, mail, and payroll checks between all TANF sites and the Rancheria, as needed.
- Assists in facilitating activities for participants during off-site events.
- May be required to assist transporting in other counties as needed.
- With advanced notice, may be required to adjust schedule to support TANF events.
- Provides information to participants, community organizations and the general public about the SSTTP.
- Provides various support to other TANF departments as needed.
- Works collaboratively with co-workers and other staff in a team environment.
- Completes Eligibility Questionnaire forms for potential participants and assists TANF participants with initial intake packets as needed.
- Keeps the lobby clean and up to date with board postings and event calendars.
- May be required to adjust schedule to support TANF events.
- Performs other duties as assigned.
