SUMMARY OF JOB DESCRIPTION
- Welcome visitors and represent the image of Bell Textron.
- Verify visitors’ identification using a valid ID card.
- Record visitor details in the appropriate log.
- Issue visitor badges with or without escort.
- Activate access cards for Fort Worth employees deployed in Mirabel.
- Provide personal protective equipment to visitors (glasses, shoe covers, etc.).
- Compile and update visitor control forms.
- Coordinate the welcoming process for events.
Answer phone calls and direct them to the appropriate recipients.
Sort external calls in accordance to guidelines.Explore solutions to enhance the management of external calls.Receive and identify delivery personnel and mail using a valid identification card.
- Log delivery personnel and mail in the appropriate register.
- Return any unwanted mail.
- Compile forms and submit reports to your supervisor. 5. Support the Human Resources Department of Bell Textron with various administrative and technical tasks.
- Format communication documents on a weekly basis.
- Regularly update and publish specific content.
- Create PowerPoint visuals and occasionally draft simple text.
- Input data into the training management system (occasionally).
- Conduct information research, archiving, email processing, applicant response, results compilation, data entry, and other related tasks.
- Place orders in Ariba and reconcile billing.
- Coordinate and prepare activities for the recognition program, retirement, and other events .
- Occasionally provide assistance to administrative assistants from other departments with specific tasks, such as special activities and events. 7. Perform any other similar or general tasks requested by the supervisor or required by the job. 8. Coordinate projects with the management team. 9. Coordinate the processing of various invoices. 10. Support for the controlled goods program.
MINIMUM REQUIRED QUALIFICATIONS
- Office System Technology or equivalent training.
- Provide excellent customer service.
- Skilled in public relations. Understanding the importance of representing Bell Textron effectively.
- Meticulous attention to detail and high-quality work, with rigor.
- Effective prioritization and time management
- Skills in writing/editing.
- Proficient in Microsoft Office suite (Word, Excel, PowerPoint, Publisher).
- Proficiency in quickly mastering new computer tools and a telephone console
- Functional knowledge in French is required.
- Functional knowledge in English is required for this position, as it involves communication in English with Bell teams outside of Quebec and/or its suppliers, partners, and clients outside of Quebec.
