Reporting to the Records & Transfer Coordinator, the Records and Transfer Officer is primarily responsible for ensuring student records, processes, and related services are maintained at the highest level of accuracy and standards. The Records Officer uses reporting tools and system data to process required changes to student records, providing suggestions and recommendations to the Records & Transfer Coordinator for continual improvements to business processes. This position also acts as a liaison between NAIT and the Alberta Apprenticeship and Industry Training Board (AIT) to ensure consistent and appropriate support for the apprenticeship processes.

Ability to work efficiently and independently under minimal supervision while contributing to common departmental goals

Ability to learn software applications quickly and use them in accordance with established methods and procedures
Demonstrate knowledge of Records-related institutional policy and procedures
Knowledge of Freedom of Information and Protection of Privacy (FOIP) as pertains to the post-secondary learning environment

QUALIFICATIONS:

High school diploma required. Post-secondary diploma or degree is considered an asset
3-5 years’ professional experience in an office environment
Prior training and/or experience in administering student records and/or working with PeopleSoft Campus Solutions is considered an asset
Equivalencies may be considered
Applicants with education credentials earned outside of Canada should have their credentials evaluated by World Education Services or the International Qualifications Assessment Service (IQAS).
Remuneration: $48,257.04 - $62,451.48 annually, plus a comprehensive benefits package. (Classification - Administrative Support V).
This position is covered by the Alberta Union of Provincial Employees (AUPE) Collective Agreement

Responsibilities:

Maintain and update student records to ensure accuracy and integrity at all times
Research, analyze, and corrects errors in student records
Support the graduation process for eligible students
Identify opportunities to improve communications and business processes
Provide support and expert knowledge around Records and Transfer processes to stakeholders
Develop and demonstrate subject matter expertise in Records and Transfer processes, policy and procedure
Validate data requested by stakeholders to ensure it captures and reflects Records and Transfer procedures
