Description:
Reporting to the Manager of Records and Registration, the Records & Enrolment Adviser is a member of a team which provides a comprehensive range of support services within the Office of the Registrar to advise, guide and support a diverse population of domestic and international students. As a records expert, the incumbent provides specialized student record services including the maintenance of accurate Student Information System (SIS) records throughout the life cycle of the student, from enrolment through to graduation, according to academic policies and procedures, and Ministry of Colleges and Universities (MCU) regulations.
THE SUCCESSFUL CANDIDATE WILL MEET THE FOLLOWING QUALIFICATIONS:
- Must possess a minimum 3-year diploma/degree in education, social sciences, information technology, business administration, or a related field;
- Must possess a minimum of 3 years of relevant work experience in an education environment processing complex, specialized information (equivalencies to be considered);
- Must have proficiency in operating a computer and relevant software packages as well as functional knowledge of a Student Information System (SIS) is required;
- Candidates with advanced knowledge of the PeopleSoft Student Administration module are preferred.

Responsibilities:
- Validating and administering enrolments in support of the approved strategic enrolment plan through the accurate and timely registration of domestic and international students across a broad range of programs;
- Managing student, academic Faculties, and department enrolment activity for all post-secondary programs (certificate, diploma, advanced diploma, degree, joint-university, post-graduate) via multiple registration methods, that are time sensitive in nature through a variety of platforms and channels (in-person, virtual, email, telephone);
- Assisting clients with student-related issues, including course changes, withdrawals, co-op registration, and advising, while adhering to college and Ministry policies;
- Managing all academic appeal workflow from point of student submission to faculty decision, and associated registration, and acting as an advisor on academic appeal policy and procedure to Associate Deans, Program Coordinators and Academic Portfolio Administrators;
- Advising, guiding, and supporting all students through the entire student lifecycle, serving as an advocate and resource for students regarding all academic policies and procedures;
- Acting as the records and registration subject matter expert for the academic faculties;
- Processing student enrolment in alignment with MCU Enrolment and Graduation reporting guidelines while working within established timelines and accurately interpreting and applying academic policies and procedures;
- Validating enrolment requirements and specifications through the review and analysis of existing configuration in the SIS to meet current and future registration needs;
- Monitoring inquiries from a variety of sources and channels, noting trends, identifying and anticipating issues. After thorough research and investigation, recommends solutions to the Manager;
- Assisting with the transfer of knowledge to new staff by demonstrating processes and procedures to perform their daily operational activities;
- Participating on an individual basis or as a team member offering expert insight and guidance during a review, redesign or implementation of existing and new system functionality or business processes;
- Performing other duties as assigned.
