Description:
POSITION SUMMARY
We are seeking a meticulous and service-oriented Records Officer to join our Registrar’s Office team. In this role, you will be responsible for maintaining accurate student records,managing grade updates, and handling transcript requests. This position provides exceptional customer service by responding to inquiries from students, staff and external contacts. Collaborates with internal departments to resolve student record issues related to grades, program completions, and graduation requirements. This position reports to the Associate Registrar and supports Admissions and Registration Officers as needed.
Key responsibilities include monitoring the records inbox, processing and updating permanent student records, and preparing transcripts. Additionally, this position will assist with special projects related to data reporting, ensure website information is up-to-date, and streamline office procedures for improved efficiency. QUALIFICATIONS & REQUIREMENTS:
- Completion of two years (approximately 60 credits) of post-secondary education.
- Two years of related work experience, preferably in dealing with the public in an educational setting.
- Thorough knowledge of the applicable rules, regulations and procedures that govern the Institute and the Registration office activities.
- Considerable knowledge of the Institute’s programs, courses, services and activities offered and knowledge of viable
- Considerable knowledge of the Institute’s policies and procedures governing records maintenance, admissions and registration.
- Considerable knowledge of Colleague or another automated student record system.
- Ability to communicate effectively with a diverse public and use judgement in providing a high level of customer service.
- Ability to establish and maintain effective working relationships with other employees, students and the general public.
- Ability to work with constant interruptions and to maintain attention to detail.
- Ability to assess information and service needs, and provide information regarding admission procedures, educational planning and academic advising.
- Skill in operating a variety of office equipment
