POSITION SUMMARY

Reporting to the Community Centre Services Coordinator, you will be responsible for providing support in maintaining, updating and maximizing the use of the ActiveNet recreation software solution, as well as providing administrative support to the Recreation and Administration Services team. The position will also provide customer service and reception services for the Community Services Department – 8th Floor EBC as required. Additional administrative functions may include responding to and/or directing telephone and counter enquiries, receiving/processing payments for program registrations, membership registrations, facility reservations and other revenues, and providing accurate and timely information to the public and staff.

EDUCATION AND EXPERIENCE

  • High School Diploma or equivalent
  • Additional courses in Office Administration, Secretarial Studies or related discipline
  • 1-3 years related experience

Responsibilities:

KEY DUTIES AND RESPONSIBILITIES

  • Provide support to update, maintain and maximize the use of the ActiveNet recreation software solution, including the following:
  • Develop and update ActiveNet supporting documentation.
  • Provide statistical analysis and reports quarterly, annually and on an as-needed basis.
  • Prepare necessary custom reports from ActiveNet, ActiveNet Insights and ActiveHub.
  • Complete data entry as required, including updating fees and charges within ActiveNet.
  • Validate data entered within ActiveNet (activities, account updates, residency status, etc.).
  • Perform all necessary credit/debit reconciliations.
  • Provide administrative support to the Recreation and Administration Services team, including the following:
  • Prepare a variety of documentation, statistical information and correspondence using Microsoft 365 (Word, Excel, PowerPoint).
  • Photocopy, prepare and compile documents (staff manuals, user guides, etc).
  • Fax and email correspondence.
  • Book meetings.
  • Take minutes at meetings and distribute those minutes to meeting attendees.
  • Conduct research, provide a summary analysis and compile results. Research to include municipal tariff and fee rate comparisons, gathering policies and procedures and municipal benchmarking of best practices.
  • Organize and maintain files as required.
  • Receive and process payments for activity registrations, membership registrations, facility reservations and other revenues using the ActiveNet Point of Sale module.
  • Utilize the ActiveNet Activity Registration, Membership Registration and Facility Reservation modules as required, including the following:
  • Input activity registrations, membership registrations and facility reservations.
  • Handle customer registration inquiries including looking up participant registration information.
  • Update client account information, including email addresses for the ActiveRH online registration system.
  • Complete participant transfers as required.
  • Greet customers and always maintain excellent customer service.
  • Respond to enquiries from staff and patrons in a professional and courteous manner.
  • Respond to, and forward as necessary, email inquiries received by the Recreation & Culture Division’s generic email account.
  • Perform telephone answering services by responding to enquiries and referring calls to other staff and departments.
  • Listen to and respond to or forward voicemail messages left in the Community Services Department voicemail box.
  • Be familiar with, provide access to, and monitor on-site inventory of marketing materials.
  • Assist in completing customer follow-up calls as required.
  • Open, sort and distribute interoffice mail as required.
  • Represent the City of Richmond Hill by presenting yourself in a cooperative, organized, enthusiastic and well-groomed manner.
  • Attend scheduled staff meetings and staff training sessions.
  • Know and understand the policies and procedures of the Community Services Department.
  • Always maintain excellent public relations with staff and the public.
  • Perform other related duties as assigned.
