Description:

We’re looking for a passionate and dedicated Recruitment Admin Coordinator to join our dynamic Talent Acquisition team at HEINEKEN! If you’re a highly organised individual with some experience in recruitment and a knack for excellent communication, we want to hear from you!
As an Admin specialist in the Talent Acquisition team, you will report into the Head of Talent Acquisition and play a critical role providing administrative support to the business for every new joiner that starts at HEINEKEN, as well as onboarding all the international new joiners and our interns during the intern cycles twice a year.
You will also contribute to other initiatives such as ensuring compliance with HR policies and processes, helping new joiners understand their visa and immigration journey and being a point of contact for changes in offer letters and contracts.
Your main focus will be to coordinate between Talent Acquisition, People Operations and the International Mobility functions in order to ensure the candidate has a smooth onboarding from a systems and back-end perspective.

What You’ll Do:

For the Talent Acquisition and People Operations team:

  • Ensure a seamless process between offer acceptance and creation of contracts, working closely with People Operations to ensure they have all the correct information for the new joiner
  • Become well versed in the back end onboarding systems and conduct administrative tasks such as data entry, immigration forms and contract amendments
  • Constantly monitor timelines and dashboards to check that new joiners have signed their contracts and completed their onboarding tasks
  • Data cleanse for requisitions
  • Creation of purchase orders and invoice processing
  • Work on high volumes of onboardings for: Heineken Global, Heineken Netherlands, Heineken Supply Chain, all international joiners and our 100+ interns that join us twice a year

For the International Mobility team:

  • You will serve as the main point of contact for candidates who want to relocate to The Netherlands when they join us
  • Provide our vendors with the information they need to initiate a new joiner’s immigration process with the IND and housing companies
  • You will be in constant contact with other HEINEKEN entities for new joiners who are relocating from a different office to ensure their offboarding and onboarding happens smoothly in the system

Who You Are:

  • Fluent in English; Dutch is a plus
  • You love administrative tasks and are happy working behind the scenes on back-end systems
  • Reliable, independent, and able to juggle multiple tasks effectively
  • Being organised is something you pride yourself in as you will manage high volumes of onboardings from different entities without letting any slip through the cracks
  • Excellent communication skills in order to be a point of contact for all new joiners when they have questions about the onboarding systems
  • Nice to have: some experience in a fast-paced, high-volume recruitment or HR environment
  • Be your own captain – organize, prioritize, and navigate your workload, especially when facing some tight deadlines
  • Your written word? It’s essential. With regular emails flying left and right, and multiple tasks on the go, we need your attention to detail on point.
  • If you’ve dipped your toes into admin or HR heavy roles, that’s a plus! If not, but you’re organised and independent and think you’ve got the stuff, we’re all ears ��
