We are seeking a highly organized and detail-oriented individual to join our team as a Intake Assistant. The successful candidate will be responsible for efficiently managing referral leads and ensuring seamless communication between our firm and external legal partners. This administrative role requires proficiency in Excel and tracking spreadsheets, along with strong communication skills for managing phone calls and emails. The Intake Assistant will play a critical role in tracking all cases that need to be referred to other law firms, ensuring accuracy, and maintaining a streamlined process for referral management.
Responsibilities
- Manage and organize referral leads efficiently, ensuring timely and accurate communication with external legal partners.
- Maintain and update tracking spreadsheets and databases to monitor the status and progress of referral cases.
- Communicate effectively via phone calls and emails with both internal team members and external legal partners to facilitate seamless case referrals.
- Ensure that all necessary documentation and information related to each case are accurately recorded and updated in the system.
- Collaborate with the legal team to ensure that all relevant details and requirements for successful case referrals are met.
- Monitor and report on the status of all referral cases, providing regular updates to the management team.
- Proactively identify and address any potential issues or discrepancies in the referral process, working to resolve them in a timely manner.
- Implement and maintain an efficient and organized filing system for all referral-related documents and correspondence.
Qualifications
- Bachelor’s degree in business administration, Legal Studies, or a related field (preferred).
- Proven experience in administrative roles, preferably in a legal or professional services environment.
- Advanced proficiency in Microsoft Excel and experience in managing and tracking data in spreadsheets.
- Excellent communication skills, both written and verbal, with a professional and courteous demeanor.
- Strong organizational and time management skills, with the ability to prioritize tasks effectively.
- Attention to detail and a high level of accuracy in data management and documentation.
- Ability to work independently as well as part of a team in a fast-paced and dynamic work environment.
- Familiarity with legal terminology and processes is a plus.
- Comfortable handling a high volume of phone calls and emails while maintaining a professional and friendly attitude.
