The Case Aid position functions as a crucial support role in the Refugee Services Program. In addition to handling copying, filing, client arrival support, and case file set up, this position also provide support to various staff members of the Refugee Services Program. This position requires outstanding attention to detail and an ability to carry out repetitive tasks.
EDUCATION AND EXPERIENCE QUALIFICATIONS
- High school diploma or general education degree (GED) and one to three months related experience and/or training; or equivalent combination of education and experience.
KNOWLEDGE, SKILLS, ABILITIES
- Understanding of basic office procedures and administrative tasks.
- Familiarity with data entry and document management systems.
- Awareness of the refugee resettlement process and related documentation (preferred).
- Excellent organizational skills with the ability to manage multiple tasks and prioritize effectively.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and experience with web-based databases.
- Strong attention to detail and accuracy in handling documents and data entry.
- Effective communication skills, both written and verbal.
- Ability to maintain confidentiality and handle sensitive information with discretion.
- Ability to perform repetitive tasks with a high level of accuracy and consistency.
- Capable of working independently as well as part of a team.
- Adept at managing time efficiently to meet deadlines.
- Capacity to learn new software and systems quickly.
- Ability to adapt to changing priorities and work well under pressure, especially during high client arrival periods.
- Strong problem-solving abilities and the initiative to address issues as they arise.
Responsibilities:
- Process client mail daily by copying documents such as immigration or public benefits and recording key information in electronic case files.
- Organize documentation for all contracted interpreters as necessary.
- Update client information in web based databases.
- Act as lead for all client requests for AOR filings.
- Conduct outreach activities to foster partnerships with community organizations and local businesses to increase and improve employment opportunities for refugee clients.
- Assist the Education & Employment Specialist with coordinating activities including computer and literacy classes, ESL classes, Cultural Orientation, interpreter and job training.
- Assist with client resume building, interviewing skills, orientation to public transportation, and other activities related to securing and maintaining employment.
- Network with other resettlement agencies, nonprofit organizations, private business, and government entities to build stronger relationships to support client self-sufficiency.
- Request rent checks and assist with lease signings as needed.
- Coordinate and assist with move-ins, especially during days with multiple scheduled.
- Create electronic case files for all R&P clients.
- Support refugee team members in completing urgent tasks during periods of high client arrivals.
- Perform other duties as assigned.
