YOUR SKILLS

  • At least 3 years in an office manager or administrative professional support function
  • Independently drive projects and company plans to completion
  • Solid project management skills to coordinate and lead a variety of projects
  • Handle confidential information
  • Focus on helpfulness and customer service
  • Experience managing schedules, booking travel and providing general support for a Director-level or above
  • Grammar, editing, formatting, document preparation and proofreading skills
  • Excellent knowledge of the Microsoft Office Suite

Responsibilities:

  • Calendar management, partnering with other administrative assistants to handle requests from senior managers
  • Setting meetings, preparing content, taking minutes and disseminating meeting actions
  • Book and manage domestic and international travel arrangements
  • Monthly reconciliation of expenses
  • Participate in event planning and support
  • Meeting and workshop arrangements both locally, interstate and internationally
  • Plan and run social events (virtual and in person), social impact initiatives and employee-related company events and programmes throughout the year
  • Maintain a smooth running and efficient office environment
  • Work with the Program Manager, International and Global Facilities regarding physical office requirements and initiatives
  • Coordinate with IT for all new hire requirements, offboarding arrangements and escalating hardware issues
  • Maintain system hygiene (eg. Sharepoint, Salesforce)
  • Region specific onboarding for new hires
  • Respond to emergencies or urgent issues as they arise and report
  • General support for remote and in person teams across APAC
