The Need
For over 25 years, IJM has pioneered the work to protect vulnerable people from violence. 9 out of 9 times in the last decade, IJM’s Justice System Strengthening Projects have reduced slavery and violence between 50 and 85% for very large populations of people in poverty. As we grow to expand our impact to protect 500 million people from violence, we are seeking a Regional Executive Assistant, South Asia to play a pivotal role in ensuring the smooth and efficient operation of the South Asia regional office.
This role demands a highly organized, proactive and detail-oriented professional who can manage a wide range of administrative and executive-level support tasks. This position will act as the primary point of contact for the Regional President, facilitating communication and coordination with internal and external stakeholders, managing complex schedules, and handling confidential information with discretion.
In addition to providing high-level administrative support, the Executive Assistant will oversee the coordination of regional meetings, conferences, and events, ensuring that all logistical details are meticulously planned and executed. They will also manage the day-to-day operations of the regional office, ensuring a professional and efficient work environment that supports the productivity and well-being of all.
This position is based in the Washington, DC area and is available to be hybrid (onsite Tuesdays & Thursdays). It reports to the Regional President, South Asia and is only available for candidates with the right to work in the US.
Responsibilities:

Organizational and Administrative

  • Manage and maintain the Regional President’s calendar, including scheduling meetings, appointments, and travel arrangements.
  • Prepare and organize meeting agendas, documents, and presentations, ensuring the Regional President is well-prepared for all engagements.
  • Screen and prioritize phone calls, emails, and other communications, responding on behalf of the Regional President when appropriate.
  • Handle confidential information with utmost discretion and professionalism.
  • Coordinate and organize activities for regional projects and programs including field trips.
  • Process monthly and ongoing budgets for the Regional President including but not limited to credit card reports, vendor payments, etc. as per finance policies.
  • Determine priorities and meet deadlines with a variety of tasks and complex projects in unpredictable and changing environments where plans may need to be rescheduled.
  • Serve as the primary point of contact between the Regional President and internal/external stakeholders, including staff, board members, donors, and partners.
  • Coordinate and facilitate communication between the Regional President and other departments, ensuring seamless information flow and collaboration.
  • Develop and maintain strong relationships with key stakeholders, representing the Regional President in a professional and courteous manner.

Documentation, Reporting & Data Management

  • Prepare and edit correspondence, communications, presentations, and other documents.
  • Conduct research, compile data, and prepare papers for consideration and presentation by executives.
  • Suggest creative ideas and solutions to the Executive during crucial situations.
  • Draft, review, and edit reports, presentations, correspondence, and other documents as required.
  • Maintain accurate records and files, ensuring easy retrieval and reference.
  • Prepare and distribute minutes of meetings, ensuring timely follow-up on action items and decisions.

Interpersonal and Communication Skills

  • Coordinate with the South Asia Operations team to facilitate coherent internal communication rhythms and processes, including those between the Regional President and the region as well as other global, regional and country teams, as may be appropriate.
  • Ensure a high level of responsiveness from the Regional President to internal and external communications.
  • Represent and communicate on behalf of the Regional President internally and externally.
  • Consult and advise on the Regional President’s digital communication and public speaking content.
  • Create high-level professional presentations and correspondence for the Regional President as needed.
  • Screen incoming calls and correspondence, act as a liaison between the executive and other staff, clients, and stakeholders, and manage email correspondence to ensure timely responses and follow-ups.
  • Serve as the primary point of contact between the Regional President and internal/external stakeholders, including staff, board members, donors, and partners.
  • Coordinate and facilitate communication between the Regional President and other departments, ensuring seamless information flow and collaboration.
  • Develop and maintain strong relationships with key stakeholders, representing the Regional President in a professional and courteous manner.
  • Exceptional organizational, time-management, and communication skills. Strong attention to detail, problem-solving abilities, and the capacity to work both independently and as part of a team, with discretion in handling sensitive information.
  • Serve as South Asia POC at global office for team with regards to questions about regional culture and FO rhythms.

Organizational Knowledge

  • Support the Regional President and collaborate with other Regional and Hub leaders to support the execution of IJM’s global strategies and best practices.
  • Understand organizational structure including governance and financial arrangements between global, field and advancement offices in order to provide guidance and support to regional projects surrounding these topics.

Events and Logistics

  • Organize and coordinate regional meetings, conferences, and special events, managing all logistical aspects, including venue arrangements, catering, travel, and accommodation for participants.
  • Develop detailed event plans and timelines, ensuring all aspects of the event are executed flawlessly.
  • Partner with the Regional President to create agendas for and facilitate regional leadership team and team meetings and events.
  • Plan and execute South Asia leadership team celebrations and retreats (as required), including quarterly offsites gatherings.

Qualifications:

Education & Experience

  • Bachelor’s degree in a business course or equivalent combination of education and experience.
  • Minimum five years of relevant work experience managing executive support and administrative responsibilities in a dynamic work environment.
  • Proven ability to work and communicate well with a diverse team.
  • Knowledgeable of human rights, international development, and/or the South Asia region strongly preferred.
  • Experience in event planning and project management, with the ability to manage multiple tasks and priorities simultaneously.
