JOB SUMMARY

A number of administrative posts have been established in England to support the activities of 7 Regional Transfusion Committees. Reporting to the National Blood Transfusion Committee, these working groups play a key role in supporting hospitals with the safe and appropriate use of blood.
Your responsibilities will involve preparing meeting agendas, minute taking, collation of data and reports, as well as managing telephone calls and written enquiries regarding the varied committee activities. An important aspect of this role will include facilitating good communications between committee members and the wider healthcare community. The post holder will be responsible for the administrative arrangements for educational events organised by the Regional Transfusion Committee.
We are looking for someone who can combine a systematic and highly organised approach to their work and who has the ability to work in a team. You should also bring to this role a good standard of education and working knowledge of the Internet, word processing and a range of spreadsheet packages. A talent for communicating both verbally and in writing will be essential. You will occasionally be required to travel and spend time away from base to support team and RTC meetings / events at other NHSBT centres or external venues, with prior notice.
This is a permanent, full time position working 37.5 hours per week. Hours can be flexible, with part time working considered. Hybrid working will also be considered.

EXPERIENCE AND KNOWLEDGE

  • Experience of working in a busy office environment, using office equipment, handling conflicting deadlines and priorities.
  • Experience of working in an administrative or secretarial role.
  • Experience in producing meeting agenda, taking minutes, running bring forward systems and chasing progress on actions.
  • Highly proficient in using Microsoft Office packages (Word, Excel and PowerPoint), or equivalent Systems.
  • Experience of using IT systems to produce reports and correspondence which are timely, professional and accurate.
  • Experience of undertaking research relevant to role and prepare clear and concise reports, analysis and recommendations from the results.

QUALIFICATIONS AND TRAINING

  • Minimum of 5 GCSE’s (including Maths and English) at Grade ‘C’ or equivalent experience.
  • Educated to A level, NVQ Level 3 or equivalent qualification or equivalent experience.
  • European Computer Driving Licence (ECDL) (part I & II) or ITQ2, or CLAIT II, or RSA III text or word processing OR equivalent experience.
  • Demonstrates commitment to own continued professional development.

Responsibilities:

MAIN DUTIES OF THE JOB

In this role you will be required to provide an administrative support role to the Regional Transfusion Committee (RTC) including direct support to the RTC Chair, Customer Services regional team and Chairs of the RTC sub groups. Your responsibilities with include:

  • Supporting the activities of the committee and assist in maintaining good relationships within the region by effective handling of telephone and written enquiries on a wide range of committee related issues in a professional manner.
  • Arranging meetings and video/telecon conferences for the RTC, Regional Transfusion Team (RTT) and other working groups. Preparing and distributing agendas, minutes and supporting papers to the relevant RTC members, the wider healthcare community and the NHSBT Hospital Liaison team and Nationally via the internet.
  • Assist in the organisation of educational events. This will involve liaison with exhibitors, delegates and venue staff and attending to ensure the smooth running of the day.
  • Undertaking specific projects as directed by the RTT, e.g. providing administrative support for pilot initiatives such as the development of new patient information.
  • Designing, distributing, analysing and reporting regional audit/survey to Hospital Transfusion Committees and RTC.
  • Having a budget / signatory authority of a small budget, tracking and recording the income and expenditure of the RTC budget, providing a financial statement to include projected expenditure to the RTT/RTC.
  • Liaise with transfusion guidelines website staff for the maintenance of a Regional Transfusion Committee website.
  • To assist in the promotion, attainment and maintenance of the NHSBT corporate and quality objectives.
  • Developing a basic understanding of the current issues in transfusion in order to provide relevant information in response to queries.
