Regulatory Administrative Coordinator

Location: St. John’s
Reporting to the Team Lead, Regulatory Policy & Compliance, Regulatory Administrative Coordinators work with all areas of the Company, particularly with the Regulatory Affairs Department as well as the Finance, Engineering, and Resource Planning teams. The role provides guidance and support to other business units to ensure adherence to regulatory requirements and deadlines. The successful candidate is expected to exercise initiative and judgement in carrying out their assignments.
Regulatory Administrative Coordinators play a critical role in acting as a liaison between Hydro and the regulator—the Board of Commissioners of Public Utilities. The position supports key regulatory proceedings—such as General Rate Applications, Capital Applications, and Resource Adequacy—as well as requests for information filings and other small- and large-scale filings.

QUALIFICATIONS:

The successful candidate should possess a diploma from a recognized business administration, office management, legal administration or related program, supplemented by five years of experience within a compliance, senior administrative assistant, or project coordinator role—preferably in a regulated public utility environment. The successful candidate has excellent computer literacy, including Adobe Acrobat and Microsoft Office Suite. Experience working with SharePoint as a site administrator would be considered an asset. A combination of education and experience will also be considered.
They possess a strong service aptitude, thrive on delivering time-sensitive deadlines, can efficiently and effectively multi-task and manage workloads, have strong interpersonal and communication (both written and oral) skills, and have accurate and detailed proofreading skills, with a natural affinity for details. They have experience working within an interdependent team in a fast-paced work environment with multiple deadlines. The successful candidate can quickly adapt to changing and/or conflicting priorities, able to prioritize work assignments, work independently, and take initiative. The successful candidate will demonstrate discretion and confidentiality while dealing with documents, a high degree of knowledge of proper formatting and referencing in legal applications and correspondence, and excellent organizational, interpersonal, and communication (both written and verbal) skills. At peak times, there will be overtime requirements, which may occur on short notice.

Responsibilities:

Maintenance of regulatory calendars, including short- and near-term regulatory filings and commitments;
Preparation of templates for regulatory documents (applications, reports, letters, requests for information and responses, etc.);
Preparation and submission of regulatory documents to the regulator, including but not limited to the formatting of word processor documents, slideshow presentations, and spreadsheets; redacting confidential filings; compiling files into PDFs; and coordination of hard copy printing and distribution;
Provision of support for all reviews of all regulatory documents, including SharePoint workflow administration;
Provides analytical support by conducting research and analysis of regulatory record and preparation of briefing materials, including information notes, presentations, discussion papers, and reports;
Familiarization with relevant legislation, guidelines from the regulator, and other regulatory requirements, to ensure filings are prepared, reviewed, edited, and formatted for compliance with Corporate and regulator standards;
Maintenance of the Regulatory Affairs SharePoint site, and provision of SharePoint support to Regulatory Affairs and other departments;
Maintenance of multiple email inboxes, distribution lists as well as paper and digital regulatory files, in accordance with legislative requirements and Information management practices and principles;
Coordination of hearing and/or conference preparation and the provision of support to hearing teams, as needed;
Provides analytical support by reviewing, identifying and developing policies and processes related to the Regulatory Administrative Coordinator role to ensure compliance and cohesion within the department.
Provision of administrative support, including maintaining an adequate supply of office materials, processing incoming and outgoing mail, processing invoices and purchasing card reports, preparing and submitting purchase orders and change orders, prepare of new hire materials, etc.; and
Other duties as assigned.
