Description:

37.5 hours a week (Monday to Friday)
To work Monday and Tuesday on the Cheltenham General Hospital Antenatal Reception desk and Wednesday to Friday at Gloucester Royal Hospital as a relief clerk. 37.5 hours per week, providing administrative support. Working hours are 08:30 to 16:30 each day, candidate expected to travel in their own time.

As a key member of the team, responsible for providing administrative, clerical and reception support to ensure the effective operation of the outpatient clinic and inpatient ward areas for patients, visitors and staff; the role contributes to a safe environment that focuses on providing a high quality public service and maintains a high level of patient care within Women & Children’s Services

  • Welcome and receive patients, visitors and other members of staff to the inpatient ward in a polite and professional manner and undertake general reception duties.
  • Responsible for all aspects of administration and using own initiative to assess and deal with any non-clinical problems to ensure a sufficient support service in the clinical area.
  • Prioritise work ensuring support for clinical staff is always available for the efficient delivery of patient care.
  • To maintain accurate records and support the clinical staff with data input into electronic patient records as necessary. Maintain accurate admission and discharge information.
  • Ensure that all results and other information are accurately filed in the patients notes, and that patient notes are up to date, and maintained to the approved Trust standard.
  • Undertake all notes preparation for Consultant and Midwifery Led Clinics.
  • Where necessary, make follow-up appointments, from the ward, using the appropriate systems.
  • Ensure accurate and specific tracing of all notes in and out, to ensure notes can be obtained from anywhere at any time in case of clinical need and ensuring data protection and confidentiality are maintained at all times.
  • To communicate discharge information to GP Surgeries, Community Midwives and other Maternity Units and any other members of the multidisciplinary team, and to continually update the bed state as required.

  • Contribute to security by monitoring visitors to the ward and reporting untoward incidents to the Ward Manager/Administration Manager as appropriate.
  • To use the Trust Procurement Systems to order items as required and also ensure stationary levels are maintained for the ward area, identifying any patient information leaflets/documents that are required to be ordered and to receive delivery of goods.
  • To report any faults to the Medical Engineering/Estates Helpdesk as appropriate and to organise for the PAT testing/security marking of any new pieces of equipment.
  • The post holder must be aware of the sensitive nature of the information they will be required to communicate in their day-to-day work. The post holder will be expected to communicate these issues in an appropriate and timely manner and ensure confidentiality is maintained at all times.
