JOB OVERVIEW:

Reporting to the Manager, Investment Properties Administration, the Rental Property Administrator supports the Operations and Accounting teams to enable the work of the group to run smoothly. This is the ideal role for someone with an interest in administration and accounting looking for an opportunity to build experience with a professional and dedicated team, and/or someone working towards a Rental Property Manager license.

SKILLS AND QUALIFICATIONS:

  • Minimum one year of experience in an Administrative or Junior Accounting role handling confidential information, multiple commitments and stringent deadlines is preferred
  • Candidates with experience in Microsoft 365, Yardi Voyager, and/or any CRM platforms would be an asset.
  • Strong customer service focus, attention to detail, and is a quick-study who enjoys a fast-paced, varied environment.
  • Demonstrate excellent time management, critical thinking, and problem-solving skills, while creating great relationships within the team

Responsibilities:

  • Establish and maintain organized physical and digital files following a standardized naming structure.
  • Systematically manage electronic and physical records within the filing system.
  • Perform general administrative duties and manage accounts receivable for designated portfolios.
  • Handle data entry for new tenancies, rental payments, deposits, and charges into Yardi Voyager.
  • Utilize various software tools to submit data approved by the Property Manager, meeting owner-set deadlines.
  • Manage data entry, filing, and communication tasks, including mail distribution.
  • Generate correspondence using templates and customized language, such as tenant letters, building notices, and welcome packages.
  • Communicate effectively with contractors, suppliers, and government entities during property portfolio changes.
  • Prepare rent increase reports and issue rent increase notices promptly.
  • Process security deposit refunds and address inquiries from caretakers and tenants regarding rental payments and charges.
