Proven administrative experience, including diary management.
Good IT Skills, with experience of website maintenance, proficient in Microsoft Office suite of software, e-mail and general office systems.
Excellent organisational skills, with the ability to prioritise own workload taking into account competing deadlines and the work of the wider team.
Qualified to GCSE level (to include passes in English and mathematics), NVQ level 2-3 or equivalent, or an equivalent level of professional experience.
Experience of working in a team, able to build and maintain effective, productive working relationships.
Excellent communication skills (written and verbal) and interpersonal skills to deal with a wide range of contacts.

Responsibilities:

THE ROLE

To provide effective administrative support to the Hot Robotics facility and its projects. The role acts as first point of contact for enquiries, and as a liaison point for all relevant internal and external contacts. Provide support to the research team and other academics to ensure work objectives are met working as part of a team with other staff employed to work in the facility.

WHAT WILL YOU BE DOING?

  • Complete administrative tasks to support the project.
  • Prepare documents, reports or communications, check and re-format documents prepared by others.
  • Undertake data entry and maintenance of relevant spreadsheets or databases.
  • Provide executive support to senior staff, including diary management, planning and arranging meetings, note taking, arranging travel and hospitality as required.
  • Deal with enquiries, responding independently with limited guidance to queries and using judgement and initiative to deal with daily unforeseen problems and circumstances seeking guidance if the request is complex or contentious.
  • Co-ordinate the administration and support materials for meetings, workshops, conferences and seminars.
  • Regularly work with relevant internal and external parties (may be across multiple work locations and will include academics, professional services staff in other University Schools and departments, collaborators, visiting researchers and students)
