Description:

KNOWLEDGE, SKILLS & ABILITIES:

  • Ability to work proactively and efficiently both independently and as part of a team.
  • Strength with analytical tasks.
  • Strong working knowledge of Excel and other Microsoft Office software.
  • Excellent written and verbal communication skills.
  • Knowledge of policies and requirements of various funding agencies (e.g. NIH, USDA).

MINIMUM QUALIFICATIONS

  • Bachelor’s degree or equivalent advanced learning attained through professional level experience required.
  • Minimum of 3 years of relevant work experience, or equivalent combination of education and workexperience required.

PREFERRED QUALIFICATIONS

  • Bachelors Degree.
  • PMP or other lean process certifications.
  • Experience with development, coordination, and submission of applications for funding from private, federal, and state sources.
  • Demonstrated ability to interact professionally and effectively with investigators, sponsors, and cross-functional teams.
  • Experience with prioritizing multiple projects and achieving desired results and deadlines.
  • Experience with managing multiple calendars.

Responsibilities:

  • Department Executive Support:
  • Provide calendar and administrative support for Vice Dean, Research, the Director, Research and the overall Translational Research Office to optimize workflow across the unit (and the college’s other departments or units’ involved in Research).
  • Develop and manage day-to-day administrative support operations of the office apprising leadership of central issues and activities of the College of Medicine.
  • Respond to emails and other correspondence to facilitate communication and enhance business processes.
  • Compose correspondence, reports and other written material of a confidential nature as needed.
  • Coordinate and provide necessary backup and supporting materials for meetings.
  • Collaborates with Office of Faculty Affairs and Human Resources to coordinate faculty and staff recruitments and other committees as needed.
  • Act as liaison to reporting units (associate deans, dean’s staff, department heads, division and center directors), university administrators, community, donors, alumni, students, media and public.
  • Executive Scheduling:
  • Manage and oversee reoccurring meetings (i.e., Research Senate, Compliance, Animal User, etc.).Preparation and design of materials and agendas for meetings and take meeting minutes.
  • Manage all logistics for meetings (room reservations, technical support, food and beverages, parking arrangements, communication to participants, etc.).
  • Schedules the Vice Dean’s and Directors daily calendars.
  • Arrange travel plans and itineraries for national and international travel.
  • Perform complex assignments that demand careful coordination with those within and external to the college of medicine.
  • Independently determine and direct a course of action for incoming inquiries from faculty and external agencies regarding programs and services, as it relates to the leadership schedules
  • Manage and promote reoccurring workshops and trainings.
  • Assist with College events and promoting the events to the College and the community.
  • Work with program coordinators on event days to guarantee successful completion of large-scale gatherings, and to ensure the Translational Research Office is represented in a positive way.
  • Create and distribute the quarterly Research newsletters.
  • Develop and monitor project plans, including timelines, resource requirements, and budgets in collaboration with project Pl and other units involved (Translational Research Office, Finance, UAHS, SPS).
  • Order supplies on a monthly basis for the Translational Research Office under the direction of the Vice Dean and Director, Research.
  • Work with other departments to place orders for Lab coats, name tags, and cubicle name plates.
  • Purchase and pay bills for Finance and Business Administration team.
  • Maintain finance filing systems as required to meet sponsor reporting.
  • Approve and/or authorize expenditures or actions for administrative and operational needs.
  • Serve as a contact for internal and/or external stakeholders to coordinate activities, exchange information, deliver reports related to our Translational Research Initiatives.
  • Support Project primary investigator (PI) in development of strategic plans with input from key members of the community.
  • Support Pls in coordinating steering committees and regular meetings to push strategic plans forward.
  • Additional duties as assigned.
