Description:

We have an exciting opportunity for an experienced administrator/coordinator to join our thriving residential sales team based in Marlborough. As the Sales Coordinator, you will be responsible for the provision of highly efficient administrative support to the team by undertaking a wide variety of tasks including invoicing, call handling, typing and preparation of communications and documents, maintenance of file systems and diary management.

WHAT WILL IT TAKE TO BE SUCCESSFUL?

We are seeking someone with excellent administration/coordination skills. You’ll have strong customer service, excellent written and verbal communication skills and good time management. Additionally, you’ll be a strong team player, with the ability to work well under pressure to meet deadlines. You will also be IT literate and proficient in Microsoft Word, Excel and PowerPoint & Outlook and comfortable working with databases and any relevant software.

8.30am to 6 pm, Monday to Friday and 9 am to 1 pm (1 in 4 Saturdays)

Responsibilities:

  • Answering the phone and directing calls as required
  • Dealing directly with clients / applicants looking to sell or buy properties and answer any enquiries
  • Typing and organising reports where appropriate
  • Organising the marketing of the properties including arranging photographs and floor plans and EPCs, creating brochures, window cards and organising advertising
  • Arranging canvassing
  • Copy typing, and drafting of letters, reports, invoices, property particulars etc.
  • Processing invoices.
  • Input to diaries and organising meetings
  • Carry out timely and accurate administration of databases
  • Accurately process fee accounts and out of pocket expenses, assisting with budgets and forecasts as required
  • Provide a high level of efficiency and customer service to all who visit or contact the office
  • Provide general administration support to the office including other partners, managers and staff as reasonably required
  • General office duties such as filing, photocopying, etc.
  • Maintain close communication with other administrators across different divisions to help ensure efficient running of the department at all times
  • Effectively liaise with other relevant professionals to maintain a sound working knowledge of all relevant areas of work
