Description:

The Rewards & Engagement Officer provides confidential support to the Rewards, Engagement and Wellness team as well as other People & Culture staff in the coordination of: benefits, health and disability absences, leave and pension administration and promotion; faculty and staff recognition and rewards; development of engagement activities events and materials; social media development and monitoring as well wellness activities. In addition, the Rewards & Engagement Officer will provide support to the People & Culture Consultants and Officers in biweekly Payroll, recruitment processes, and provide administrative support on the interpretation of collective agreements and the exempt working conditions and processes paperwork in accordance with the terms and conditions of the language.

EDUCATION:

  • Grade 12 plus two-year post-secondary business diploma or equivalent

EXPERIENCE:

  • 4 years directly related Human Resources experience working with benefits, pension and wellness functions, social media platforms, recruitment, engagement and recognition and event planning as well as advanced level experience with MS Office products, Canva, Deltek (or similar software)

Responsibilities:

  • Maintain confidential employee records and correspond with managers/supervisors and all employee groups for enquiries regarding disability/sick/health leaves, vacation, pension, unassisted/assisted leaves, maternity/parental leaves, payroll, collective agreement or working conditions and benefits.
  • Conduct regular reviews and audits to ensure accuracy for benefits, overage dependents and OLFM seniority/sick/benefit/vacation, update eligibility, and maintain data using Banner and Manulife systems. Coordinate all aspects of employee benefit program including enrolment and orientation to all employee groups on the benefit plan, contract updates and compliance and annual renewal pricing and support. Communicate with external parties and other Universities regarding benefits and communicate any changes in benefits to employees.
  • Coordinate the billing process for benefits and transfer confidential documentation to insurance carriers. Conduct monthly review and verify employee and dependent benefit coverage eligibility for all groups and make appropriate changes to benefit groups as necessary.
  • Prepare projections and calculations for retirement, termination, maternity/parental leave, disability plans and other leaves for all employee groups. This includes Phased Retirement calculations and communication for faculty as well as other retirement incentive program offers.
  • Coordinate, process, and prepare salary calculations, increases, increments and adjustments, process changes in workloads or work plans, and maintain data using Banner relating to biweekly payroll and employee benefits.
  • Coordinate, process and verifies the recruitment process for all employee groups and contract types including the verification of contracts for payroll submission. Respond to and interpret general collective agreement and exempt working conditions document inquiries.
  • Independently creates, develops and assists in the promotion and presentation of marketing and training materials for benefits, recognition, engagement and wellness activities in People & Culture and across campus.
  • Coordinates activities and creates marketing and promotion plans to promote People & Culture events and recognition including social media promotion, information questionnaires and institutional profiles, surveys, displays, invitation and guest lists, accepting and recording replies/registrations, approving event itinerary and content, preparation of remarks, pre-event briefings and debriefings.
  • Provides research, support and assistance with ad hoc People & Culture projects which will include oversight of procedures in the areas of Disability management, tuition waivers, University Instructor tracking, Grievance Settlements, Severance and HRIS enhancement.
  • Assign and coordinate the work of the Co-op students, work study students, auxiliary staff and volunteers.
  • Performs other direct duties and support to People & Culture Consultants in an effort to manage workloads during high volume periods or to cover vacation and/or leaves. This includes regularly performing the duties of a People & Culture Officer and maintaining a functional faculty/admin/support staff portfolio and assuming greater workload when other People & Culture Officers are absent due to vacation, leave etc.
