The Role
Supporting a the Post-War and Contemporary Art Day Sale, the Sale Coordinator must be able to approach problems with clarity, creativity and calm, while being the key link between the Post-War and Contemporary Art Day Sale team and support departments throughout Christie’s. The primary function of this role is to manage the execution of the PWC Day Sales by monitoring and tracking all activities and elements related to property movement and auction processes. This role works closely with operations, marketing, legal, finance and the sale team to ensure all deadlines are met and smooth execution of all sale related tasks.

Specific duties & responsibilities will include but are not limited to

  • Liaise with global clients as needed for all consignment related information, details, and issues
  • Manage seller agreement and stock order creation
  • Manage and track status of consignment paperwork to ensure compliance requirements are met and required records are maintained
  • Keep up to date sale runner to track all property information, working closely with sale team to track sale status and with finance and business management to facilitate forecasting
  • Work with Art Transport to manage shipping requests and quotes, including client approvals, export licenses, and scheduling
  • Proactively track receipt of property and follow-up on open issues and missing items
  • Assist with coordination of framing and restoration needs for the sale including quote requests, client communications, status of service requested and related client charges
  • Work closely with operations to manage property movement including tours, shipping requests, securing client approvals, flag need for export licenses and track site transfers, local transfers, temp releases, transfer to third party, and hand carries
  • Manage and track all item details to ensure sale and catalogue deadlines are met and all compliance is met
  • Track and ensure execution of seller marketing promises, along with local Marketing Manager
  • Monitor the progress of photography, lotting up and copyright status; sit in on hilling sessions to monitor activity and required actions
  • Work with Sale Cataloguer as main points of contact with photography studio, production teams and Specialists
  • Act as liaison to Operations for sale view installation and highlights previews, as required
  • Manage reserve amendments and ensure relevant pre-sale documentation is sent to client
  • Manage sale activities including, providing information for interest lists, assistance in facilitating client views, send condition reports and submit bid requests
  • Prepare information for handoff to Post-Sale Service team, compiling proper payment instructions, KYC and tax documentation.
  • Convey approved post-sale item action to Post-Sale Service team for execution
  • Work with Business Management to process and track all costs associated with the sale ensuring accurate post sale settlement for all sale consignors
  • Other duties as assigned by Sale Head or Business Management
  • Telephone bidding, when necessary, to support the overall operation of the PWC Cluster sales

The Candidate

  • Bachelor’s degree preferred, or equivalent work experience
  • Strong Project Management skills including ability to multi-task, prioritize and manage multiple processes
  • Exceptional client service skills including strong verbal and written communication skills
  • Meticulous attention to detail and strong follow-up skills
  • Excellent communication and interpersonal skills, including superior written and spoken communication
  • A passion for the art world, and knowledge of, or interest in learning auction process

Compensation Range
Salary: $55,000.00 - $57,000.0
