Description:

The Sales Administrative Executive is responsible for ensuring the smooth running of the day-to-day sales operations, including sales documentation, order processing and customer service. The successful candidate will play a crucial role in supporting and enhancing the productivity of the sales team, contributing to the overall success of the business.

REQUIREMENTS/QUALIFICATIONS:

  • Higher NITEC / NITEC in any discipline or Diploma in Business Administration, Supply Chain or equivalent.
  • At least 1-2 years of experience in operations, sales administration or similar roles in a fast-paced and dynamic environment.
  • Candidate should be resourceful, able to work independently while being a team player.
  • Positive and customer-focused mindset with a proactive approach to problem-solving.
  • Meticulous, good follow up skills and able to prioritize multiple tasks with competing deadlines.
  • Strong interpersonal, communication and organizational skills.
  • Proficient in Microsoft Office applications (Word, Excel and PowerPoint) and experience with customer relationship management (CRM) software is an added advantage.

Responsibilities:

  • Support and manage smooth coordination of daily sales operation, related administrative and logistics arrangement.
  • Process monthly quotation, purchase order, delivery order and invoice promptly and accurately.
  • Ensure timely fulfilment of customer orders and accuracy of inbound/outbound shipments.
  • Prepare and arrange inbound and outbound deliveries, liaising with outsourced delivery suppliers.
  • Establish and maintain customer/supplier relationships.
  • Monitor inventory accuracy and track inventory levels to ensure sufficient supplies for smooth operation.
  • Maintain and ensure proper documentation and filing system.
  • Data entry for accounting-related matters and stock updates.
  • Preparation and submission of relevant reports and documents.
  • Undertake any other ad-hoc responsibilities assigned by the company.
