Job Title: Sales Administrator
Salary: up to £25,000pa
Location: This a hybrid role involving working from our dedicated head office in Grimsby and home
Working hours: Monday - Thursday 8:30am - 5:00pm, Friday 8:30am - 4:30pm

SKILLS AND QUALIFICATIONS:

  • Previous experience in a similar role, ideally within a sales or customer service environment.
  • Strong organisational and multitasking abilities.
  • Excellent written and verbal communication skills.
  • Proficiency in MS Office, particularly Word and Excel and Super Office CRM.
  • Attention to detail and a high level of accuracy.
  • Experience of working in a fast-paced environment.

Responsibilities:

Encompass Marine are a UK marketing agent for oversees ship repair companies and associated services, handling email and telephone enquiries from UK and Swiss based clients.

As a Sales Administrator, you will play a crucial role in supporting the sales team and ensuring the smooth running of operations. Your responsibilities will include:

  • Ensure the efficient running of the office for a small dedicated team.
  • Reception duties including answering, screening and forwarding telephone calls. A professional, courteous and pleasant telephone manner is essential at all times. Taking messages, greeting visitors, making refreshments and keeping the office appearance professional.
  • Maintain electronic systems including reporting and dealing with IT queries, filing of emails, updating of electronic calendars, contacts and Super Office CRM.
  • Follow up, track, record and issue invoices.
  • Minute taking.
  • Ordering, receiving and maintaining office supplies and marketing materials.
  • Organisation of Exhibitions as decided by the sales team.
  • Gather and collate data and information from a variety of sources, using routine procedures, spreadsheets and databases to interpret vessel docking and survey dates.
  • Monitor tender dates to ensure specifications/ tenders are submitted and received on time for submission to clients.
  • Produce monthly reports for sales enquiries, customer lists and forthcoming surveys and docking for sales staff.
  • Appointment setting for marketing trips including appointment booking, creating visit itineraries and producing pre visit reports.
  • Make travel arrangements as required.
