WHO WE ARE LOOKING FOR

For our Client Delivery management team in Amsterdam, The Netherlands, we are looking for a client centric client service representative. The purpose of the role is to ensure all client deliverables are met according to the standards required by our clients. In order to do so this position requires someone that is able to understand in detail the various aspects of the day to day workings of the pension fund industry and how the different processes interact with daily and monthly data delivery. This position also requires someone who is able to manage and guide the team members as well as deep dive into matters to solve any issues. Leading by example is a key element of this role. This is preferably underpinned by a bachelor’s degree with a focus on finance, investments, accounting or related field. You will interact with various State Street departments throughout the world as well with local clients.
This role can be performed in a hybrid model, where you can balance work from home and office to match your needs and role requirements.

Responsibilities:

WHAT YOU WILL BE RESPONSIBLE FOR

As Sales and Service Client Services you will

  • The Officer is responsible for ensuring team compliance with operating policies, procedures and guidelines in the completion of Net Asset Valuations (NAV) across our Fund Structures and ensures that these are in line with regulation and up to date at all times of the year even outside of dedicated STT updates..
  • Review Fund governing documents and Operating Memoranda, to ensure consistency with accounting procedures and calculations in use
  • Supervise and review the work performed by Fund Accounting staff, in the onshore location and where applicable in other locations as applicable
  • Manage internal workflows to ensure internal and client deadlines are met, be on top of all delays and put urgency into getting items complete and challenge where not immediately don’t wait for calls.
  • Manage expectations with client contacts when new requests are made
  • Spot check distribution calculations; including the review of market notices where applicable
  • Monitor Fund Sub-Closures on accounting systems and work with teams to close funds in MCH in their entirety.
  • Is checklist signed off as required; is relevant back up saved; quality of comments.
  • Perform periodic review of bank and cash reconciliations Including quality of comments
  • Perform periodic review of management fee calculations, and other Fund calculations as applicable
  • Prepare and/or review client related correspondence
  • Coordinate annual audit with internal stakeholders ahead of time to ensure that Fund Auditors have a good experience
  • Establish and maintain working relationships with key contacts Officer/AVP+, including offshore management via Operations calls
  • Participate in the development, testing and implementation of new systems.
  • Coordinate client deliverables, both with clients and internally.
  • Assist team in ensuring all accounting procedures and calculations are consistent with governing documents such as SOP and global guidelines - including completing internal audit to identify risk areas and remediate with the team or escalate
  • Contribute to performance plans of junior staff.
  • Ensure self-adherence and team adherence to internal policies and procedures
  • Co-ordinate and implement training and development activities across the team
  • Assist with onboarding of new staff
  • Manage absences, time keeping and cover arrangements within the team, ensuring handovers are completed timely from Associates.
  • Set and maintain standards of personal and professional performance and behaviour; ensuring staff accountability/ownership and adherence to company policies and procedures
  • Schedule and conduct team meetings
  • Provide coaching, guidance and support to staff on technical and client issues
  • Perform Review and delivery of client KPIs; maintain team KPIs and strive to remediate with the team where red and with internal teams via operations calls. Deliver to team managers feedback ahead of SRM for items that warrant escalation or are trending and repeat items.
