PURPOSE: Assisting the Sales team with research, obtaining rates from suppliers, loading confirmed bookings onto our reservation system, documentation and liaison with the operations team.
Responsibilities:
- Assistance to the Sales Team
- To check hotel availability, ensuring use of allocations where available.
- To confirm options held with hotels at the time of the tour depositing.
- To research any special interest visits as required and obtain current rates.
- Assist with research for itinerary design by using in house resources and reaching out to external partners.
- Guide & special entrance bookings
- To always maintain professional relationships with all suppliers and clients.
- Loading confirmed bookings into our reservations system.
- To assist with accurately creating client documentation
- To reliably update and maintain relevant charts such as Events chart, VIP chart, Recce schedule etc
- To prepare financial statements and invoices to agents as required and ensure all necessary payments have been received on time
- Review the opportunities to increase margins once files confirm
- To work closely with the operations team to minimise errors and guest complaints
- To ensure a smooth handover and liaison between sales and operations consultants to ensure the highest quality service deliver to agents
- To provide emergency mobile telephone service on a rota basis and provide all necessary information for the emergency file
- General office duties
- To conduct special projects as requested by your manager such as programs for seasonal events
- Any other reasonable duties as requested by your manager.
