About the role
The key objective of this position is to work closely with the Sales team and sales operations team to provide support on administrational tasks in the systems enabling them to perform day to day sales and operational tasks & maximum productivity. The role of Sales Support Coordinator will include updating and loading systems with data as well as dealing with our local offices to follow up on pending bookings and support sales operations with operational tasks such as invoicing, tour prepping, rooming lists etc.

Main tasks and responsibilities:

  • Reporting to the sales support team leader directly (team under the Sales Operations of Boston Sales office)
  • Close collaboration with mainly Inbound Group hotel reservations, Destination Services and Procurement departments for prebooking group services and prepping tours for operations to take over
  • Close collaboration with sales team and sales operations teams in Boston
  • Close collaboration with the Jakarta Quotation team
  • Assist with support operational functions such as dos and excel invoicing, rooming lists, itineraries, etc… working closely with the sales operations team directly
  • Complete administrative operational tasks for our product including processing rooming lists, building the tour in our operating system, customizing tours, and accessing special requests
  • Prepare invoices for our groups in different currencies and support documents in excel
  • Fully support sales and sales operations functions to achieve their targeted goal
  • Ensure priority list, check update and new coming tours
  • Monitor and work on complex cases such as: series pre-bookings, last-minute bookings, bookings without valid contract, revies and inform sales on special supplier terms and cancellation charges
  • Request HRD teams to negotiate rates or supplements, free pax policy, prepayments, and cancellation policy where over target rate
  • Work with local teams to reduce over-budget
  • Improve number of hotel booking pendings and preparing tours for operations
  • Follow up on pending hotel bookings and service bookings and follow up on these with the respective local office departments and report to sales managers on hotel progress and group bookings

To succeed in this role, you should have:

  • European travel experience OR 1-2 years of experience in tourism
  • Strong negotiation skills
  • Strong communication skills (written / spoken) in English and local language
  • Ability to communicate on all levels and in a multi-cultural environment
  • Proven ability to work effectively in a fast-moving organization
  • Excellent problem-solving skills both proactively and ongoing
