Description:

BIS Safety Software is a fast-paced, high growth technology company providing leading software for the safety industry. We are expanding our team and seeking a full-time executive assistant to support our Sales team.

QUALIFICATIONS:

  • 1-2 years as an executive assistant is preferred.
    Salary ranges are based on experience, reflecting the unique skillset each individual brings to the role. In addition to this salary, we offer full medical (health, dental, and vision) coverage as well as life insurance and disability insurance.
    In addition, we have just rolled out an Employee Stock Ownership Program (ESOP), and all eligible full-time team members are available to participate.

Responsibilities:

ABOUT THE ROLE

In this role, you will provide crucial support in managing leads, monitoring workflows, and ensuring the team operates efficiently. You will be the central point of communication, handling administrative tasks, and facilitating the sales process. This role requires timely and accurate performance of tasks, the ability to work independently and with others, as well as meeting deadlines and having the ability to make decisions by anticipating needs. Most of all, we need someone with a positive attitude, a desire to help, and who is very strong with details.

IN THIS ROLE, YOU WILL BE EXPECTED TO:

  • Manage HubSpot CRM for lead rotation and assignment.
  • Monitor team performance and sales activities.
  • Support and expedite the sales process by managing contracts, following up on communication, and ensuring proper workflow with both clients and team members.
  • Assist with client onboarding, and conduct client exit interviews as needed.
  • Collaborate with teams in process improvement meetings and coordinate follow-ups.
  • Work closely with account managers to track sales expectations, and develop and maintain sales reports and dashboards.
  • Support the sales team with event planning and execution, handling travel coordination and other administrative tasks.
  • Facilitate communication between team members, including scheduling meetings, setting agendas, and providing meeting notes and follow-up emails.
  • Maintain document coordination and completion with a meticulous eye for detail.
  • Track tasks and projects, providing updates on progress.
  • Coordinate ongoing training for sales team members.
  • Ensure all project management tickets assigned to the sales team are followed up on in a timely manner.
  • Perform other duties as required (e.g., special projects).
