Description:

JOB DESCRIPTION:

Under the direction of a supervisor, the employee will provide scanning of all documents, including the scanning of large maps. The employee will also be back up for the front desk in greeting customers by phone and in person. The employee will also provide assistance in the file room, monitoring the general email account, and other clerical support as assigned. The employee must be well organized with attention to detail, and be able to consistently meet stringent deadlines.

QUALIFICATIONS

  • Utah water rights law, rules, regulations, and statewide policies.
  • Principles, theories, and practices of water rights management.
  • Research methods, techniques, and/or sources of information.
  • Use logic to analyze or identify underlying principles, reasons, or facts associated with information or data to draw conclusions.
  • Read and interpret maps, plats, charts, plans, and/or blueprints.
  • Read, interpret and apply laws, rules, regulations, policies and/or procedures.
  • Communicate information and ideas clearly and concisely, in writing; read and understand information presented in writing.
  • Use State or agency-specific software application programs.

Responsibilities:

PRINCIPAL DUTIES:

  • Scan all types of documents using various scanners.
  • Be able to index scanned documents in a timely manner.
  • Replace water right files to the proper place in the file room in a timely manner.
  • Provide other file room assistance as needed. Maintain and/or create files or record keeping systems. Sort, label, file and retrieve documents or other materials.
  • Monitor general email and process address changes.

EXAMPLE OF DUTIES

  • Scan, index and file incoming documents in a timely manner.
  • Provide backup to front desk personnel in greeting the public by phone or walk-in; be able to answer basic public inquiry questions; and direct the public to the correct section or staff member.
  • Receive and receipt applications and provide copies for customers.
  • Assist in sorting, mail logging, and distributing incoming mail and documents; and prepare outgoing mail.
  • Monitor the general email, process electronic address update requests.
